Requirements

  • Experience in auditing monthly bulk invoices across hundreds of locations and vendors
  • Ability to pull and analyze financial spend reports and create strategies with proposed cost savings and cost avoidance targets
  • Experience working cross-functionally within a large scale, complex, data driven and technologically innovative organization
  • Excellent analytical, critical thinking, problem-solving, and decision-making skills
  • Excellent organizational, and time management skills
  • Bachelor’s degree in Finance, Business Administration, Supply Chain Management, or related field (or equivalent experience).
  • 2+ years of procurement, finance, or cost analysis experience, preferably in utilities including telecommunication and data services or facilities preferred.
  • Proficiency with procurement and vendor management tools; experience with GetChoice, Corcentrix and ServiceChannel preferred.
  • Strong analytical and problem-solving skills with high attention to detail.
  • Advanced Excel skills; ability to work with large datasets and create reports.
  • Excellent communication skills and ability to work cross-functionally.

Responsibilities

  • Monitor, audit, and optimize all expenses related to office and branch utilities and certain expenses related to real property repairs and maintenance.
  • Ensure accurate tracking, reporting, and forecasting of utility costs along with repairs and maintenance.
  • Identify cost-saving opportunities.
  • Collaborate with internal departments and external vendors to help manage contracts and billing.
  • Ensure cost accuracy, and maintain compliance with procurement policies.
  • Own the process to analyze and identify cost optimization opportunities across the company’s footprint of branch locations for utilities, repairs, maintenance, telecom, and other areas.
  • Audit and reconcile vendor invoices for office and branch utilities (including telecom and data services) and certain other facilities expenses.
  • Monitor and analyze spend trends within our various payment systems for the assigned expenses to ensure no process gaps resulting in late fees or other assessments.
  • Make recommendations to improve and enhance the control environment and reporting for the assigned expenses.
  • Identify over billings, cost variances, over payments, unnecessary charges and services, incorrect billings, billings for services or locations no longer required, etc. and recommend corrective action.
  • Action the approved recommended corrective action.
  • Maintain detailed procurement records and documentation for compliance and audit purposes.
  • Prepare and present monthly status and cost analysis reports by location for finance leadership.
  • Support cost-optimization initiatives and procurement best practices.
  • Advance the company’s strategy around right sizing the operating expenses with the right level of spending in the right areas.
  • Collaborate with finance and operations teams for budget and forecast alignment.
  • Administer hotel, rental car, and ride share programs.
  • Other duties as assigned.
