Requirements

  • Graduation from high school.
  • Demonstrated possession of knowledge, skills and abilities gained through at least one year of office assistant/secretarial experience.
  • Possession of a valid NC driver's license upon hire.

Responsibilities

  • Manage vital records.
  • Coordinate fast-paced workflows.
  • Ensure local families receive timely, accurate assistance.
  • Perform a variety of administrative support duties for an assigned division.
  • Concentrate in the areas of records, reports, files and public contact.
  • Complete, verify, identify and resolve problems.
  • Perform statistical, financial, and/or other record keeping.
  • Handle public contact including receiving and providing information and problem solving.
  • Maintain and manage files.
  • Perform composition, calculation, and determination of an action or compliance.
  • Operate office equipment.
  • Establish, retrieve, verify, update and/or authorize processing actions using manual or automated office systems.
  • Answer telephone and greet visitors.
  • Provide general program information.
  • Type documents.
  • Prepare and maintain files and records.
  • Act as receptionist.
  • Forward calls to appropriate party.
  • Assist the public with the completion of standardized records or documents.
  • Direct visitors to appropriate division.
  • Deliver or collect materials for visitors and other county agencies.
  • Enter a variety of data into the computer.
  • Prepare reports and logs.
  • Screen, verify and reconcile data.
  • Sort, index and maintain files.
  • Maintain records on customer requests.
  • Type a variety of documents including correspondence, lists, labels, reports, and memorandums.
  • Check items for clerical accuracy and completeness.
  • Operate a variety of standard office equipment.
  • Receive, sort, process and distribute incoming and outgoing mail.
  • Coordinate the work of other support staff, student workers or volunteers (may require).
