About The Position

The primary purpose of this position is to process patients during check-in, answer questions, distribute information pamphlets, and accept information forms for processing. This role involves significant public contact and close interaction with nursing staff. The assistant must maintain knowledge of clinic/program requirements, including insurance and payment procedures, and handle walk-in services for most patients.

Requirements

  • Graduation from high school and at least one year of office assistant/secretarial experience, or an equivalent combination of training and experience.
  • Demonstrated possession of knowledge, skills, and abilities.
  • Subject to SBI criminal history record check prior to hire.
  • General knowledge of office or work unit procedures, methods, and practices.
  • Ability to use a variety of office equipment.
  • Basic computer and typing skills.
  • Ability to communicate and work with people with courtesy and tact, including proper telephone etiquette.
  • Ability to record and compile information based on established guidelines.
  • Ability to screen communications based on predetermined guidelines to independently respond or route inquiries.
  • Ability to gather and give information and instructions regarding the work process or procedures.

Responsibilities

  • Serve each person who comes into the Health Department for services or information.
  • Interact closely with nursing staff in each clinic, notifying triage nurses of patients with communicable symptoms.
  • Provide appropriate and general information to clients as requested, within defined parameters.
  • Rotate with other Processing Assistants for cross-training and efficiency.
  • Handle walk-in services procedures, excluding established maternity patients and WIC/Nutrition services.
  • Maintain knowledge of clinic/program requirements for patient visits, including insurance applicability and pre-payment needs.
  • Call patients to the window using the number system, greet them cordially, and update demographic information.
  • Conduct interviews to gather financial information (Medicaid, insurance, self-pay).
  • Answer questions regarding clinic routine and eligibility for services.
  • Print registration sheets after review and update with patient data.
  • Correct and notate errors on client personal information from Identified Error reports.
  • Enter patients' financial information as required at each visit.
  • Verify information from check stubs or W2 forms.
  • Scan copies of Photo ID, Medicaid and/or insurance cards.
  • Complete Encounter Forms for MNT service visits.
  • Maintain encounter forms, HIPAA Notice of Privacy Practices, etc., in designated slots.
  • Perform other duties as assigned by Supervisor and/or Management.
  • Assist in the event of a disaster as needed.
