About The Position

We are seeking a highly organized and proactive individual to provide administrative support to the Principal of Penn's Grove Middle School. The Principal's Secretary will play a vital role in ensuring the smooth operation of the school by managing daily administrative tasks, facilitating communication, and maintaining a positive school environment. The ideal candidate will possess excellent communication skills, a strong attention to detail, and the ability to multitask effectively in a fast-paced educational setting.

Requirements

  • High school diploma or equivalent
  • Proven experience as a secretary or administrative assistant, preferably in an educational setting.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Excellent verbal and written communication skills, with a strong ability to interact effectively with diverse populations.
  • Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines.
  • Attention to detail and problem-solving skills, with a focus on maintaining confidentiality.
  • Ability to work independently as well as collaboratively in a team-oriented environment.
  • Familiarity with school policies, procedures, and regulations is a plus.
  • A commitment to fostering a positive and inclusive school culture.

Responsibilities

  • Manage the Principal's calendar, scheduling appointments, meetings, and events while ensuring efficient time management.
  • Serve as the primary point of contact for communication between the Principal, staff, students, parents, and community members.
  • Prepare and distribute correspondence, reports, and other documents as needed, ensuring accuracy and professionalism.
  • Maintain student records, staff files, and school documents in compliance with district policies and regulations.
  • Assist in the coordination of school events, including meetings, workshops, and special programs.
  • Handle phone calls, inquiries, and requests in a courteous and timely manner, providing information and support as needed.
  • Organize and maintain the Principal's office, ensuring a clean, efficient, and welcoming environment.
  • Support the Principal in various administrative tasks, including budgeting, procurement, and resource allocation.
  • Assist in the preparation of agendas and minutes for meetings, ensuring proper documentation and follow-up on action items.
  • Collaborate with other administrative staff to ensure seamless operations within the school and district.
