About The Position

The PrEP Engagement Manager leads Mazzoni Center’s comprehensive PrEP outreach, engagement, and retention initiatives to ensure equitable access to HIV prevention services and sustained patient participation in care. This role is responsible for implementing data-informed strategies that increase PrEP initiation, strengthen patient engagement, and improve long-term retention across the PrEP care continuum. The Manager builds structured engagement pathways from community touchpoints to clinical services, and ensures proactive follow-up for patients requiring quarterly monitoring, lab compliance, and medication adherence support. A core function of this role includes working closely with Mazzoni Center’s Clinical Pharmacist to evaluate program data, identify gaps in care, and implement operational and programmatic interventions that improve efficiency, patient outcomes, and equity in access.

Requirements

  • Master’s degree in healthcare, public health, social work, or a related field required.
  • 3-5 years’ experience in HIV prevention, patient counseling or education, or case management is required.
  • Two (2) years' experience in hiring and managing staff, and developing high performance cross-functional team.
  • Knowledge of PrEP, nPEP, and HIV treatment.
  • Proven track record of organization and attention to detail, and ability to respond promptly to requests, anticipate agency needs, and maintain efficient clinical operations.
  • Strong communication and interpersonal skills to build rapport with patients and healthcare providers.
  • Ability and willingness to work with diverse populations.
  • Proficiency in data management and reporting using electronic health records and computer literacy in Microsoft Word, Teams, and Excel.
  • Background checks are required, including Criminal Background Clearance, Child Abuse Clearance, and FBI Clearance.

Responsibilities

  • Participate in strategic planning to expand PrEP access and retention initiatives.
  • Work collaboratively to develop workflows that integrate PrEP access and retention efforts into clinical and support services.
  • Collaboratively develop and implement PrEP and nPEP operating procedures and ensure compliance with agency regulations and funding requirements.
  • Ensure issues or concerns encountered or raised by patients are resolved, including troubleshooting any crisis with patients and/or care team.
  • Assign case coverage and/or provide coverage to the program staff as needed.
  • Monitor team/program performance and ensure program is meeting goals and strategic objectives.
  • Work with clinical leadership to develop and implement retention strategies, including missed visit follow-up protocols, lab monitoring adherence tracking, and medical refill monitoring.
  • Establish escalation protocols for patients lost to follow-up.
  • Identify and address potential barriers to PrEP use, including access to medication, insurance challenges, and social determinants of health.
  • With clinical leadership, collaboratively develop patient education materials about when and how to stop PrEP if desired, when and how to reinitiate PrEP in the future, when to call a healthcare provider with questions, and when and how to schedule an appointment with Mazzoni Center.
  • Confirm quarterly appointments are scheduled with a healthcare provider.
  • Ensure patients are compliant with quarterly baseline bloodwork appointments.
  • Coordinate medication refills.
  • Reapply for medication assistance programs in a timely fashion.
  • Conduct Rapid HIV Tests as part of ongoing PrEP care.
  • Dispatch remote lab screenings/test kits as a part of ongoing PrEP care.
  • Make reminder phone calls to patients with upcoming appointments.
  • Link patients into PrEP or nPEP.
  • Ensure referrals to other healthcare services are provided and as needed, including mental health support, substance abuse treatment, or linkage to other basic needs services.
  • Support linkage to care efforts for PrEP participants who may be newly diagnosed with HIV.
  • Collect, prepare, and report services and activities completed in a timely manner to internal and external entities.
  • Ensure documentation of all patient encounters in the electronic medical records within 48 hours, including but not limited to phone conversations, counseling sessions, HIV rapid test results, and medication pick-ups.
  • Oversee submission of applications for manufacturer patient assistance programs when appropriate on behalf of uninsured and/or underinsured patients, monitor status of PrEP applications, and resubmit prescription requests in a timely fashion.
  • Collaborate with healthcare providers to ensure the program facilitates seamless PrEP care and timely follow-up appointments.
  • Participate in quality improvement activities and collaborate with QI team on PrEP and nPEP initiatives.
  • Direct supervision of PrEP Retention Coordinators.
  • Provide coaching and professional development and conduct performance evaluations.
  • Recruit, support hiring, and onboard new staff.

  • Protect patient information and records at all times in compliance with agency confidentiality polies, ACT 148 and HIPAA.
  • Participate in internal and external meetings, as assigned.
  • Represent Mazzoni Center at various venues to promote services.
