About The Position

We are seeking a highly organized and detail-oriented Preconstruction Coordinator to support our bidding and administrative operations. This role plays a critical part in keeping bids on track by managing documentation, coordinating with internal teams and ensuring efficient office operations.

Requirements

  • 3-5 years of administrative experience required
  • High School diploma or GED required
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and data entry
  • Excellent grammar, proofreading, and document-editing skills
  • Strong written and verbal communication abilities
  • Highly organized with strong attention to detail
  • Ability to manage multiple priorities and deadlines
  • Ability to maintain confidentiality with financial and proprietary information
  • Collaborative mindset and strong customer service approach

Nice To Haves

  • Experience processing contracts strongly preferred
  • Knowledge of Wisconsin Sales & Use Tax is a plus
  • Experience with accounting or project management software is a plus

Responsibilities

  • Set up bid opportunities, including creating estimate folders and organizing plans and specifications
  • Create, review and edit proposals, and bid documents
  • Track & update bids, including bid forms, proposals
  • Complete requests for pre-qualification statements
  • Maintain organized bid files, including quotes, project manager notes, and correspondence
  • Support preconstruction team with bid planning and administration
  • Order and track bid bonds
  • Participate in team meetings and contribute to a collaborative work environment
  • Assist with additional administrative tasks as needed
