About The Position

The Practice Manager is responsible for managing the staff and business operations of the practice(s). This includes overseeing daily operations, financial stewardship, staff performance management, and ensuring efficient practice operations. The role involves acting as a liaison between providers, staff, and patients, addressing concerns, and implementing improvements. The Practice Manager also plays a key role in hiring, onboarding, and offboarding employees, managing schedules, and ensuring compliance with policies and procedures.

Requirements

  • Experience in managing staff performance including supervising, coaching/counseling front office and clinical staff daily.
  • Experience overseeing timekeeping of direct reports by monitoring time clock activities and ensuring time is recorded appropriately.
  • Experience addressing issues raised by providers, employees, and patients and seeking out appropriate leaders or partners to problem solve and improve processes.
  • Experience communicating with patients and family members, providers, and staff to address complaints, customer recovery, and develop a resolution.
  • Experience managing staff and business operations of the practice(s).
  • Experience delegating responsibility and commensurate authority to designated subordinates.
  • Experience supervising and directing departmental orientation of new staff.
  • Experience developing and maintaining physician templates.

  • Experience monitoring and identifying trends.
  • Experience developing and implementing action plans for improvement.
  • Experience reviewing and addressing customer concerns from the Arrowlytics Survey.
  • Experience using Arrowlytics to identify clinic opportunities and wins.
  • Experience tracking all invoices.
  • Experience handling all building-related issues (I.e. elevator, HVAC, vending machine, exterminator, etc.)
  • Experience creating clerical workflows.
  • Experience ensuring EHR issues are addressed timely and resolved.
  • Experience with requesting IT needs.
  • Experience completing incident reports and sending them to the necessary individuals.
  • Experience participating in meetings and committees as it relates to your job.
  • Experience working with providers on clinical and administrative issues, including HR-related concerns.
  • Experience ensuring the OSHA/Safety, Work Site Hazards Worksheet is completed and updated as needed.
  • Experience participating in marketing and business development activities to promote awareness of practice services to the community.

Responsibilities

  • Conducts monthly staff meetings and ensures designated trainings are completed and information is disseminated to employees as requested by leadership.
  • Holds a daily huddle to discuss the schedule for the day, staffing, and other pertinent information.
  • Assures adequate provider coverage to meet patient needs at all times.
  • Practices financial stewardship in all purchases for the location, including supplies and equipment.
  • Reviews service line finances to identify savings opportunities and implement resolution.
  • Participates in the hiring process by following interview guidelines and providing timely feedback on candidates.
  • Completes onboarding for new employees and offboarding for terminated employees in the HRIS system.
  • Assures employee evaluations, including 30-60-90-day, are completed in a timely manner and appropriate goals are set.
  • Manages staff performance including supervising, coaching/counseling front office and clinical staff daily.
  • Oversees the timekeeping of direct reports by monitoring time clock activities and ensuring time is recorded appropriately, to include Advanced Practice Providers.
  • Signs off on timecards in a timely manner.
  • Tracks physician and APP time off.
  • Address issues raised by providers, employees, and patients and seek out appropriate leaders or partners to problem solve and improve processes.
  • Communicate with patients and family members, providers, and staff to address complaints, customer recovery, and develop a resolution.
