About The Position

Four Seasons is looking for a PR & Marketing Coordinator who shares our passion for excellence and is enthusiastic about creating the ultimate service experience for our guests. We are looking for individuals who possess a high level of professionalism and integrity while maintaining the confidentiality of the office. A solid working knowledge of all MS systems: Word, PowerPoint, Excel and Publisher are required. Working knowledge of Opera is strongly preferred. Applicants must also have a high attention to detail and the ability to multi-task in a fast-paced environment and is a collaborative team player. This person will be responsible for providing administrative support to the Director of Public Relations, Sales Managers and Director(s) while being familiar with all aspects of the sales process. This position reports to the Director of Public Relations. This is a non-exempt/hourly position. U.S. work authorization is required for this position.

Responsibilities

  • Provide Sales and Marketing Administrative Assistant support as necessary, including but not limited to PowerPoint presentations, photo requests, printing of collateral, contract turnovers, merging contracts, menu printing, site inspection forms, write welcome letters, etc.
  • Assist with the design and/or coordination of Hotel signage, email blasts, and collateral that increase awareness and positive perception of the hotel.
  • Update Four Seasons proprietary websites, as well as third party websites, ensuring alignment with the Hotel’s positioning and business objectives and creative storytelling.
  • Conduct thorough grammatical reviews of collateral, signage, menus, and other guest-facing materials to ensure they are accurate and aligned with the highest standards of luxury hospitality.
  • Utilize Revinate, TripAdvisor and like-tools to track reviews, organize hotel responses, and posts.
  • Assist with video and photo shoots at the hotel.
  • Prepare accurate written correspondence including letters, contracts, reports, and e-mails using Microsoft Word, Golden Sales & Catering and Outlook.
  • Field incoming inquiries and distributing to proper recipients.
  • Correspond via email and telephone with clients regarding individual reservations or group requests.
  • Maintain Golden Sales & Catering accounts, including traces, creating and updating bookings, and systems maintenance.
  • Communicate internally with Reservations Team, Front Office Team, and other departments for guest preferences and stay requests.
  • Complete all weekly/monthly reports (including, but not limited to; Forecast, Sales Reports, function room occupancy and availability reports, Accounts lists, Month End presentations, social media reports, etc) on a timely basis.
  • Receive and respond to incoming telephone calls in accordance with Four Seasons Standards.
  • Manage projects related to sales and marketing initiatives such as holiday gifts, sales blitzes, and hotel partnerships.
  • Periodically assist with front of house operations including greeting and directing guests.
  • Finalize and assist with resume preparation of confirmed bookings when needed.
  • The ability to perform other tasks or projects as assigned by hotel management.
  • Handle incoming requests from clients and hotels, act as primary client contact when Sales & Marketing team are out of the office.
