About The Position

The City of Redmond is seeking a Police Support Administrative Specialist to join their Police Department. This role is crucial for ensuring the efficient and effective operation of the department, working in partnership with officers, staff, and the public. The position involves specialized clerical duties within the Police Records Division and is ideal for individuals beginning their career in administrative support who are organized, detail-oriented, and possess strong communication and customer service skills. The department is hiring for two specific roles: Police Support Administrative Specialist – Records and Police Support Administrative Specialist – Investigations.

Requirements

  • Associate’s degree or high school diploma /G.E.D. with 2 years of college level coursework
  • Five years of progressively responsible administrative support experience
  • May require relevant certification or higher education coursework as it pertains to the department/division
  • Any combination of education and experience that provides the desired knowledge, skills and abilities to perform the essential duties of the position
  • Washington State Patrol’s ACCESS Certification must be completed within six months of hire (for Police Support).
  • Valid Washington State Driver’s license required; accommodation for lack of driver’s license may be considered depending on the assignment or circumstances (for Fire Support).
  • Lied during any stage of the hiring process
  • Falsified his or her personal history questionnaire or application or failed to disclose pertinent information
  • Been convicted of a felony (or pled nolo contendere to a felony charge) or any offense that would be a felony if committed in Washington State, or has been incarcerated for any crime
  • Sold marijuana, narcotics or dangerous drugs
  • All illegal and/or recreational drug use will be closely scrutinized on a case-by-case basis
  • Had a pattern of abusing prescription medication
  • Been dishonorably discharged from the United States armed forces
  • Received more than two moving traffic violations within the preceding 3 years; or reckless driving violation within the preceding 5 years; or driving while license suspended within the preceding 5 years; or driving while intoxicated within the preceding five years
  • Been involved in more than one motor vehicle accident within the preceding 3 years for which the applicant received a traffic or criminal citation and was convicted, forfeited bail, or entered a plea of "guilty" or "nolo contendere."
  • Been previously employed as a law enforcement agent and since has committed or violated federal, state or city laws pertaining to criminal activity
  • Committed any serious violation of Federal, State, City or County laws
  • Been convicted of any crime under a domestic violence statute
  • Unlawful sexual misconduct.

Responsibilities

  • Follow well-defined department procedures in compliance with City, State and Federal laws.
  • Data entry, case file assembly and maintenance including digitizing of case files in accordance to records retention.
  • Greet and screen visitors for the RPD.
  • Enforce sign-in and distribution of visitor badge ID.
  • Handle inquiries by the public, from phone calls and front counter contacts, or direct to appropriate staff.
  • Process and enter court orders (protection orders and warrants), data entry for statewide crime reporting, citation/infraction accountability, review on-line reporting, and research legal information (RCW/WAC).
  • Maintain, process and retain all public records requests for the police department.
  • Handle public disclosure requests from insurance companies, public and other law enforcement agencies.
  • Collect appropriate fees as outline.
  • Process and issue/authorize Concealed Pistol Licenses.
  • Provide Fingerprint services, as needed, according to department regulations.
  • Train new Records staff and police officers on Records duties and provide refresher training as needed.
  • For employees listed on the City’s Language Roster, provide bilingual language translation for visitors at the front counter and for victims (at the officer’s request).
  • For employees who are a Notary Public, provide notary services as needed.
  • Handle inquiries from the public, field calls for detectives or direct to appropriate staff.
  • Act as the liaison with King County Prosecutor’s Office by processing adult and juvenile felony filings, discovery requests, 911 audio requests, and fire run report requests and other case-related materials.
  • Maintain, process, and retain records for the police department Investigations.
  • Assist officers and detectives with various investigative tasks.
  • Review, process, and distribute a wide range of police reports and supplemental investigative documents to internal and external stakeholders, including prosecutors, courts, and other law enforcement agencies.
  • Track and monitor case progress, ensuring timely submission of documentation and proper case closure procedures.
  • Assist detectives and officers with administrative components of investigations, such as compiling case files, transcribing interviews, preparing warrant packets, and organizing evidence documentation.
  • Coordinate and maintain case calendars, court dates, and other investigative deadlines; send timely reminders and updates to investigative staff.
  • Support department compliance with public disclosure regulations by identifying and redacting sensitive information from investigative files as needed.
  • Assist with the coordination of interagency communication for multi-jurisdictional cases, including sharing information and securing documentation.
  • Generate routine and ad hoc reports on case activity, case volume, and investigative workload metrics for supervisory staff.
  • Provide support for special projects, criminal intelligence briefings, and task force operations as directed.
