About The Position

The Village of Hanover Park is an Equal Opportunity Employer. This part-time position is primarily responsible for reviewing, coding, and submitting police records into the department's Criminal Justice Information database. The role also serves as a receptionist for the public walk-in window, providing information on court, weather, road conditions, overnight parking, insurance reports, impounded vehicles, and related public police records. The position involves collecting various fees and processing citations, operating the L.E.A.D.S. terminal, scoring and entering Uniform Crime Reports, maintaining daily activity reports, and managing confidential files. Additionally, the Police Records Aide monitors radio communication, homeland security alerts, answers non-emergency calls, assists with the Vehicle Impound Program, and handles clerical duties such as typing and filing.

Requirements

  • High school diploma or general education degree (GED).
  • Two years general office experience and/or training.
  • LEADS certification within six months of hire date.

Responsibilities

  • Reviewing, coding, and submitting police records into the department's Criminal Justice Information database.
  • Serving as a receptionist for the public walk-in window.
  • Providing public information concerning court information, weather conditions, road conditions, overnight parking, insurance reports, impounded vehicles and related public police records and information.
  • Determining the nature of a visit and independently handling or referring to the appropriate person.
  • Collecting bond money from officers and insurance report fees from the general public.
  • Collecting and processing vehicle impound fees.
  • Processing and recording citations issued by officers.
  • Operating the L.E.A.D.S. terminal by entering, retrieving and/or canceling data concerning arrest warrants, criminal history, license plates, registration of vehicles, impounded vehicles, stolen articles, missing and wanted persons and related information.
  • Scoring and entering all offense and arrests in Uniform Crime Reports.
  • Monitoring equipment operation and contacting appropriate sources regarding problems with terminal operation.
  • Maintaining daily reports concerning the activities of officers on duty, types of incidents that have occurred, and other useful information.
  • Creating and maintaining confidential and general files, records and correspondence for the department.
  • Filing or forwarding records to be maintained in-house.
  • Recording and preparing all transmittals of matters relating to Cook and DuPage County Courts.
  • Monitoring and utilizing two-way radio communication via radio frequencies to include local Police, Fire, DuComm, ISPERN, Hanover Park Public Works Department, and Civil Defense radio frequencies.
  • Monitoring the EMnet computer terminal connected to the Department of Homeland Security and other Emergency Management organizations for information relating to threats or events impacting the village of Hanover Park.
  • Answering incoming telephone calls from the general public requesting police services of a non-emergency nature and giving information to callers or routing calls to appropriate personnel.
  • Referring calls to DuComm central dispatching service or dispatching service requested for calls requiring immediate action.
  • Collecting money generated from the Police Department's Vehicle Impound Program and preparing necessary paperwork for release of impounded vehicles.
  • Assisting Public Utilities and Public Services Departments by receiving and recording complaints and service requests after normal working hours.
  • Performing typing, such as notices to appear in court, complaints, alarm and street indexes, memos, letters, incident status cards and daily bulletins.
  • Typing or retrieving and copying various reports and records for all police personnel requesting such services.
  • Filing various reports, court dockets and jackets, warning tickets, and L.E.A.D.S. messages.
  • Opening and distributing departmental mail.
  • Monitoring jail complex cameras when prisoners are in the holding facility or processing if new prisoners are being conducted.
  • Assisting in booking prisoners and conducting prisoner searches as needed.
  • Conducting periodic prisoner checks and feeding as assigned.
  • Following all safety regulations, policies and procedures.
  • Reporting all unsafe conditions and acts to supervisor.
  • Reporting all accidents to the supervisor immediately whenever possible, but no later than end of the employee's work shift.
  • Following recognized safe work practices.
  • Performing other duties as requested or assigned which are reasonably within the scope of the duties enumerated above.
