About The Position

The Pod Coordinator is responsible for a variety of administrative and patient-facing tasks within a medical clinic setting. This role involves scheduling appointments, managing patient information, communicating with patients and providers, and ensuring accurate documentation. The position requires initiative, the ability to work independently, and strong communication skills to effectively interact with physicians, patients, families, caregivers, and the healthcare team. The Pod Coordinator plays a crucial role in the smooth operation of the clinic and the delivery of patient care.

Requirements

  • High School Diploma or GED.
  • Ability to complete competency assessment.
  • Must have ability to handle confidential information on a need-to-know basis as defined by CHC.
  • Requires the ability to work without direct supervision.
  • Requires the ability to communicate verbally with physicians, patients, families, caregivers and the Healthcare Team.
  • Required to be able to write legibly and to read printed or handwritten materials.
  • Ability to communicate and respond effectively.
  • Required to stand for long periods of time.
  • Required reaching with hands and arms.
  • May need to appropriately respond to meet the urgent or emergent needs of the patient.
  • Occasionally may need to crouch, kneel, stoop or bend.
  • Required to assist with lifting, transferring or repositioning patients, supplies or equipment.
  • May need to lift or assist with lifting or moving >40 pounds.
  • Requires visual acuity to perform required tasks.
  • Requires manual dexterity to set up, test, attach and control the functions of various items or medical equipment utilized for patient care and monitoring.

  • Medical Experience preferred.
  • Clinical office experience preferred.

Responsibilities

  • Schedule appointments and make referrals.
  • Communicate and document provider’s orders as appropriate.
  • Access and update patient information in IRIS.
  • Prepare, update, and document in medical records.
  • Educate patients and distribute health information.
  • Notify patients of lab results.
  • Notify patients of radiology results.
  • Notify patients of appointments.
  • Clear providers' desktops for referrals, lab, and radiology notifications.
  • Schedule referrals to specialty providers or Iowa Cares and fax appropriate information.
  • Schedule testing and fax appropriate information.
  • Answer phone calls for referral, lab, and radiology questions.
  • Return voicemail messages.
  • Complete prior authorization forms for medications and testing.
  • Cross-reference lab requests with lab reports.
  • Send reportable disease forms to the state when needed.
  • Return BCCEDP paperwork to the office.
  • Follow up on missed mammograms and abnormal paps.
  • Follow up on referral appointments and track in referral log.
  • Other duties and projects as assigned.
