About The Position

NewAge is seeking an experienced Personal Assistant to provide dedicated, one-on-one support to its Chief Operating Officer (COO). This role is crucial for managing the COO's personal and business logistics, including extensive travel, benefits administration, and daily personal tasks. The ideal candidate will be proactive, possess excellent communication and judgment skills, and deliver service with a high degree of professionalism and responsiveness.

Requirements

  • 3+ years of experience as a personal or executive assistant supporting a C-level or senior executive directly, one-on-one.
  • Demonstrated experience independently booking complex, multi-leg travel.
  • Strong written and verbal communication skills.
  • Familiarity with expense tools such as Concur.
  • Sound, independent judgment, with the discretion to know when to act and when to check in first.
  • Verifiable references from a prior employer who can speak to your reliability, judgment, and communication style.
  • Comfortable handling sensitive personal information with discretion and confidentiality.
  • Experience supporting an executive who travels internationally or extensively for work.

  • Familiarity and experience with AI tools to automate and work efficiently.

Responsibilities

  • Book and manage all travel, including flights, hotels, ground transportation, and complex multi-leg trips with last-minute changes.
  • Manage travel logistics such as tracking passport/visa renewals, managing loyalty programs, and arranging travel insurance.
  • Track and manage personal benefits, including insurance enrollment, renewal deadlines, and claims follow-up.
  • Manage and reconcile expenses by collecting receipts, categorizing spend, submitting reimbursements, and flagging discrepancies.
  • Handle personal administrative tasks such as appointment scheduling, correspondence, research, and gift/errand coordination.
  • Support ad-hoc special projects and research tasks.
  • Anticipate needs proactively without requiring step-by-step instructions.
