About The Position

Generator Supercenter is a leading provider of whole-home backup power solutions. We help homeowners protect their families and homes with professionally installed Generac generators. As our Chicagoland operation continues to grow, we are looking for an organized, detail-oriented Post-Sales Project Coordinator to help manage customers from the time they purchase their generator through permitting, scheduling, installation, inspection, and project completion. This is an excellent opportunity for someone with a strong administrative or office coordination background who enjoys keeping projects organized, communicating with customers, and making sure nothing falls through the cracks. The Post-Sales Project Coordinator is responsible for the administrative coordination of generator installation projects after the sale is complete. Working under the Office Manager, this position will help move each customer through the post-sale process by preparing permit applications, tracking municipal approvals, maintaining project documentation, coordinating schedules, communicating with customers and municipalities, and supporting the installation team. You do not need to be an electrician or construction expert. We are looking for someone who is highly organized, comfortable learning new processes, and capable of managing multiple projects at different stages at the same time. Experience with municipal permitting, construction administration, contractor offices, home services, or project coordination is highly beneficial.

Requirements

  • High school diploma or GED required
  • Previous administrative, office coordination, scheduling, customer service, or project support experience preferred
  • Strong organizational skills and attention to detail
  • Ability to manage multiple customers and projects simultaneously
  • Comfortable following established processes and checklists
  • Strong written and verbal communication skills
  • Professional and friendly when communicating with customers, municipalities, contractors, and coworkers
  • Comfortable using computers, email, web-based systems, Microsoft Office, and similar business applications
  • Ability to follow up consistently and take ownership of open tasks
  • Dependable, proactive, and comfortable working in a fast-paced small-business environment

Responsibilities

  • Prepare and submit permit applications for generator installation projects
  • Communicate with municipalities regarding permit requirements, application status, corrections, and approvals
  • Gather required documents such as site plans, specifications, contractor information, and supporting documentation
  • Track permit status and follow up regularly to prevent unnecessary project delays
  • Coordinate required inspections following installation
  • Maintain organized records of permits, approvals, inspection results, and related correspondence
  • Learn the permitting requirements of the different municipalities we serve throughout Chicagoland
  • Receive completed projects from the sales team and ensure all required information and documentation are available
  • Set up customer projects in company systems and maintain accurate project records
  • Track each project from sale → permitting → approval → scheduling → installation → inspection → completion
  • Identify missing information or potential delays and proactively follow up
  • Coordinate with the Office Manager, field team, electricians, plumbers, subcontractors, and sales team
  • Help ensure generators, materials, permits, and subcontractors are ready before installation
  • Assist with scheduling generator installations, inspections, and subcontractor work
  • Confirm installation dates and project details with customers
  • Coordinate scheduling between customers, installation crews, electricians, plumbers, and other subcontractors
  • Update schedules when weather, permits, inspections, or other project conditions change
  • Help ensure installation teams have the documentation and information they need before arriving at the jobsite
  • Provide customers with professional updates regarding permitting, scheduling, installation, and inspections
  • Respond to basic customer questions regarding project status and next steps
  • Set clear expectations regarding timelines and outstanding requirements
  • Escalate technical, sales, or construction-related questions to the appropriate team member
  • Help provide a smooth and professional customer experience from purchase through completed installation
  • Maintain accurate customer files and project documentation
  • Upload permits, photographs, inspection records, project notes, and other documentation into company systems
  • Monitor open projects and outstanding action items
  • Assist the Office Manager with reporting and project tracking
  • Support general office and project administration as needed
