About The Position

We are a growing HVAC and Electrical company committed to delivering exceptional service, quality workmanship, and outstanding customer experiences. We're looking for a detail-oriented, organized, and customer-focused Permit & Rebate Coordinator to join our team. This role is essential in ensuring projects move smoothly from installation to completion by managing permits, inspections, and utility rebate programs. The Permit & Rebate Coordinator is responsible for obtaining permits, coordinating inspections, processing customer rebate applications, and maintaining accurate project documentation. This position works closely with our installation teams, office staff, municipalities, utilities, and customers to ensure compliance and maximize available incentives.

Requirements

  • High school diploma or equivalent required
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Outstanding verbal and written communication skills.
  • Proficient in Microsoft Office or Google Suite (Outlook, Excel, Word) and CRM software.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Positive attitude and strong customer service skills.

Nice To Haves

  • Preferred 2+ years of administrative or coordinator experience (HVAC, electrical, or home services).
  • Experience with permits, inspections, rebates, or compliance is a strong plus.
  • Knowledge of HVAC and electrical terminology.
  • Familiarity with local building departments and utility rebate programs.
  • Experience working in a fast-paced service environment.

Responsibilities

  • Prepare, submit, and track permit applications for HVAC and electrical projects.
  • Schedule required inspections with local jurisdictions and communicate inspection dates with installers and customers.
  • Monitor permit approvals and resolve any issues or delays.
  • Research and process utility, manufacturer, and government rebate programs.
  • Collect and verify all documentation required for rebate submissions.
  • Submit rebate applications accurately and monitor their status through completion.
  • Communicate with customers regarding rebate eligibility, requirements, and payment timelines.
  • Maintain accurate records in the company CRM and filing systems.
  • Coordinate with sales, dispatch, and installation departments to ensure projects remain on schedule.
  • Stay current on local permitting requirements and available rebate programs.
  • Assist with administrative tasks and special projects as assigned.
