About The Position

Provides administrative assistance to the Building Service department and processes permit requests. Acts as the receptionist for City Hall. The position requires high integrity and quality customer service, proficiency with computers, software, email, phones, and office equipment. The role involves receiving and directing visitors, answering the telephone, dispatching inspectors and officers, reconciling end-of-day paperwork, and preparing daily bank deposits with accuracy.

Requirements

  • High school diploma or general education degree (GED)
  • Proficient with computers, software, email, phones, and office equipment
  • High integrity and quality customer service
  • Texas Class "C" Driver's License
  • Prolonged Sitting

  • Communication of information and ideas so that others will understand. Must be able to share accurate information face-to-face, over the telephone, and radio
  • Use digits to utilize computers, phones, calculators, copiers, scanners, printers, and other office tools

  • Occasional Lifting 25 lbs. from the floor to the waist
  • Bending, stooping, and crouching

Nice To Haves

  • Prior professional experience in a government permit-granting agency or a closely related field is preferred

Responsibilities

  • Provide customer service by answering phones; provide information as requested; collect and process payments; respond to requests for information
  • Open and close permit lobby; welcome visitors; receive and process plans and applications
  • Perform clerical duties, including but not limited to data entry; create and maintain project files; fax or email information; and run various reports
  • Prepare and issue permits and licenses upon approval and schedule associated inspections
  • Process electrical utility releases; balance cash receipts
  • Prepare completed files and plans for document retention
  • Assist with permitting software updates and finalizing inspections and approvals
  • Assist with website portal updates
  • Receives and directs visitors to City Hall
  • Answers the telephone and conveys messages
  • Dispatches inspectors and officers
  • Reconciles end-of-day paperwork and prepares daily bank deposits with accuracy
