About The Position

Municipal Management Services, Inc., has an immediate opening for a Full-time Permit Clerk. This role performs a variety of duties in support of the Building Department. The Permit Clerk coordinates the issuance of various permits for the Village, including greeting applicants, explaining procedures for acquiring permits to the public, and receiving payments for permits.

Requirements

  • Knowledge of local building codes and regulations.
  • Knowledge of procedures for obtaining building permits.
  • Knowledge of cash management processes.
  • Knowledge of principles and procedures of record keeping and record retention.
  • Knowledge of office procedures, methods, and computer equipment.
  • Ability to communicate clearly and concisely, both orally and in writing.
  • Ability to perform mathematical computations and simple accounting tasks.
  • Ability to communicate city codes and ordinances to the general public.
  • Ability to compile and collect data.
  • Ability to operate office equipment, including computers and supporting word processing and spreadsheet applications.
  • Ability to handle all types of customers.
  • Ability to maintain effective working relationships.
  • High school diploma or GED equivalent.
  • Two years’ experience in customer service, permitting, or related field required.
  • Possession of, or ability to obtain and maintain a valid driver's license and operate a motor vehicle.
  • Must pass post-offer drug testing, criminal background and credit history checks.

Responsibilities

  • Issue building and other applicable permits, licenses and certificates of occupancy within the Building Department.
  • Provide information and documents to contractors, developers, general public and other parties related to building and development within the Village.
  • Answers the telephone and transfers callers to appropriate parties; responds to questions and requests for information regarding fees, codes, and permits.
  • Prepare inspection schedules; review permit applications.
  • Calculate permit and impact fees; receive money for permits; reconcile the cash drawer daily.
  • Perform a wide variety of general clerical work including the maintenance of accurate and detailed files and records; verify accuracy of information, research discrepancies and record information.
  • Prepare monthly permit reports; enter a variety of data and information into various computer programs.
  • Operate a variety of office equipment including telephones, computers, copy machines and facsimile machines; input and retrieve data and text. Communicate on a two-way radio with inspectors and other city personnel.
  • Perform additional related duties as required.
  • Assist the other Village personnel as required.
  • Order office supplies as needed.
  • Train other Permit Clerk personnel as required.
