About The Position

We’re Patriot Software - a remote-first, product-led tech company on a mission to make accounting and payroll fast, simple, and affordable for millions of American businesses. With 175+ team members across the U.S. and a collaborative office hub in Canton, Ohio, we’re building software that empowers the backbone of the American economy. We believe in creating an environment where people thrive, characterized by connection, clarity, growth, high trust, and a culture where ideas move quickly and quality matters. Our team lives by six core values: Be Customer Obsessed, Lead With Speed, Don’t Cut Corners, Create a Better Us, Follow The Golden Rule, and Grow, Be a Leader. We are hiring a People Operations Administrator to serve as the operational backbone of our benefits and leave programs. This is a hands-on role for someone who has 2+ years of professional HR experience, thrives in the details, and gets genuine satisfaction from building cleaner processes and helping employees navigate complex situations with clarity and care. You’ll be the go-to resource for benefits questions, leave of absence administration, and day-to-day HR coordination. You pick up systems quickly, bring a process-improvement mindset to everything you touch, and are comfortable operating in a fast-moving, tech-forward environment. This is not an entry-level or administrative-only role; we need someone with real, hands-on HR experience who is ready to own their workload and grow into more responsibility over time.

Requirements

  • 2+ years of hands-on HR experience with direct ownership of benefits administration and leave of absence (FMLA, ADA, parental leave, disability)
  • Working knowledge of federal leave and benefits law: FMLA, ADA, ACA, ERISA — and a drive to stay current
  • A genuine process-improvement mindset — you notice inefficiencies, document them, and propose fixes
  • Tech-savvy: you learn new platforms quickly and are comfortable working across HRIS, benefits portals, and productivity tools. Specific platforms matter less than your ability to ramp fast
  • Strong written and verbal communication: clear, direct, and empathetic when navigating sensitive employee situations
  • High attention to detail and a commitment to accurate recordkeeping and compliance
  • Ability to manage multiple priorities and deadlines without dropping the ball
  • High School Diploma or GED required
  • Consistent, reliable high-speed internet access
  • Dedicated, quiet workspace free from distractions

Nice To Haves

  • 2- or 4-year degree in HR, Business, or related field preferred, or equivalent demonstrated experience
  • HR certification: PHR, aPHR, SHRM-CP
  • Life, Accident & Health Insurance License
  • Experience with Greenhouse ATS or Patriot Software Payroll & Accounting
  • Familiarity with applying AI and automation tools to streamline HR workflows
  • Experience supporting employees in a multi-state U.S. organization, including state-specific leave requirements

Responsibilities

  • Own day-to-day benefits administration: enrollments, qualifying life events, billing reconciliation, and employee questions
  • Serve as the primary point of contact for employees navigating leave of absence (FMLA, ADA accommodations, parental leave, disability, state-specific leaves)
  • Maintain compliant, accurate leave documentation and ensure timely communication with employees and managers throughout the leave lifecycle
  • Manage workers’ compensation and unemployment claims with timeliness and care
  • Own ACA tracking and compliance reporting
  • Support open enrollment: communications, system setup, carrier coordination, and employee support
  • Identify opportunities to improve benefits and leave processes — document what you find and bring solutions
  • Own onboarding logistics for new hires: paperwork, I-9 completion, benefits enrollment, and HRIS setup
  • Maintain accurate, audit-ready electronic personnel files
  • Support offboarding and separation documentation
  • Keep HRIS data current and flag data discrepancies proactively
  • Assist with recruiting coordination as needed: scheduling, candidate communication, ATS updates
  • Support compliance with federal, state, and local employment laws across our multi-state U.S. footprint
  • Assist with annual compliance activities, required notices, and policy updates
  • Help draft and maintain HR process documentation and SOPs
  • Support People Ops projects tied to employee experience, engagement, and process improvement

Benefits

  • Comprehensive suite of benefits that help our team thrive inside and outside of work
