About The Position

The Chesapeake Bay Foundation (CBF) is seeking a People Operations Coordinator to join the People & Culture Department at the Philip Merrill Environmental Center in Annapolis, MD. CBF is a leading nonprofit conservation organization dedicated to protecting the Chesapeake Bay. The People & Culture Department's mission is to recruit, train, and retain highly professional and motivated staff to achieve CBF’s goals. This part-time position (30 hours per week) is crucial for supporting the department in various HR functional tasks, ensuring the smooth and efficient operation of HR processes. This role is benefit-eligible.

Requirements

  • Minimum of 1-3 years’ experience in an HR support role to senior level positions.
  • Strong communication and collaboration skills.
  • Highly organized, flexible, and fast-paced.
  • Basic understanding of HR functions and best practices.
  • Excellent organizational and time management skills.
  • Proficiency in MS Office Suite.
  • High level of attention to detail and confidentiality.
  • Ability to have reliable transportation to travel to other CBF locations or for work-related items as needed.
  • A team player with a positive attitude and a willingness to learn and grow within the department and organization.

Nice To Haves

  • Experience with Paylocity or other HRIS system.
  • Experience with HRIS systems (Paylocity a plus, not requirement).

Responsibilities

  • Assist in the maintenance and updates of employee files, ensuring confidentiality and data security.
  • Generate HR reports and provide insights for department decision-making, including preparing quarterly metric data reports.
  • Ensure all personnel files processed for payroll are included and saved in the Paylocity employee record.
  • Process FMLA and disability claims, including collecting necessary documentation, coordinating with employees and providers, and ensuring compliance.
  • Track FMLA and disability leave periods and maintain accurate records.
  • Process worker's compensation claims, including collecting documentation, submitting claims through the KeyRisk portal, and coordinating with employees and claims adjustors.
  • Serve as the primary contact for all land-based injury claims.
  • Prepare all bonus requests by processing the form for signatures.
  • Serve as the back-up to the Recruitment Coordinator in preparing onboarding, offboarding, and personnel change materials.
  • Assist in the audit process by reviewing and updating benefit elections in the ENavigator system and ensuring data feed matches in Paylocity.
  • Assist Payroll and Benefits Coordinator during open enrollment to enroll employee selections into the HRIS system.
  • Support the VP for People and Director in various assigned projects.
  • Coordinate team meetings, including developing agendas, notifying staff, making arrangements, recording minutes, and tracking action items.
  • Manage credit card and department expenditures, including preparing, coding, and submitting bills, invoices, receipts, and expense reports.
  • Coordinate with the Director to understand the approved budget for coding aspects.
  • Maintain and update the department’s Simplrr intranet site.
  • Monitor, track, and communicate compliance-related updates and required materials to staff.
