About The Position

Chelsea Piers' People Operations team supports over 1,600 employees across its sports, fitness, and events venues in the Greater NYC area. This role is ideal for someone who is detail-oriented, accurate, consistent, and reliable in day-to-day tasks that keep the team running and provide excellent support to employees. The position supports a wide range of essential People Ops functions, including onboarding logistics, addressing employee questions, and generating compliance reports. As the team modernizes its systems and workflows, the associate will have the opportunity to observe and contribute to these changes. This role is a good fit for individuals early in an HR or operations career seeking broad exposure across the employee lifecycle, or for experienced administrative professionals looking to specialize in People Operations.

Requirements

  • 1–2 years of experience in an administrative, office, customer service, or HR support role
  • Proficiency in Microsoft Office (Outlook, Word, Excel), including basic spreadsheet skills for tracking and reporting
  • Strong written and verbal communication skills, with a professional and welcoming presence in person and on the phone
  • Excellent organizational skills and the ability to manage multiple tasks and deadlines in a fast-paced environment
  • Demonstrated ability to handle confidential information with discretion
  • Comfort learning new systems and adapting to changing processes and priorities

Nice To Haves

  • Associate's or Bachelor's degree, or equivalent work experience
  • Experience with an HRIS or payroll platform, ideally Paycom
  • Familiarity with onboarding processes such as I-9 verification and background checks
  • Experience with applicant tracking systems or job board postings
  • Interest in building a career in HR or People Operations

Responsibilities

  • Greet and assist all Chelsea Piers Management (CPM) guests and employees.
  • Provide excellent customer service and hospitality to CPM guests and employees.
  • Maintain a positive attitude and take initiative.
  • Monitor visitor access and maintain security awareness.
  • Answer, screen, and transfer phone calls.
  • Receive and sort office mail and packages.
  • Maintain office supplies by keeping the copy room organized and ordering and inventorying supplies.
  • Deposit all checks collected in CPM via remote deposit.
  • Return all deposited checks and report to corresponding AR contact.
  • Handle a variety of tasks from CPM department heads (Finance, Marketing, Operations, People Ops, Technology) including data entry, filing, scheduling, and special projects.
  • Post, update, and remove job listings across job boards, ensuring accuracy.
  • Initiate and track background checks, onboarding checklists, and I-9 verification, following up on outstanding results.
  • Coordinate candidate assessment administration (Predictive Index, pre-screening questions, resumes, cover letters).
  • Maintain an organized inventory of job descriptions with standardized language and formatting.
  • Assist with bulk hiring needs, including standardized rejection notices.
  • Audit job site presence and help keep employer profiles current.
  • Assemble and distribute welcome packets, and coordinate first-day logistics.
  • Serve as a first point of contact for employee questions, answering routine questions and routing complex ones.
  • Process password resets and basic system access requests across HR platforms.
  • Help administer employee recognition programs.
  • Pull and distribute recurring compliance reports (outstanding I-9s, inactive employee records, mandatory training completion) and send reminders.
  • Track and send reminders for outstanding PTO requests via Paycom.
  • Prepare recurring people reports (weekly all-staff, monthly attrition/turnover, new-hire reports).
  • Confirm daily timesheet change approvals and monitor 401(k) eligibility milestones.
  • Process Tuition Assistance and Calm App requests, tracking submissions and communicating eligibility.
  • Coordinate logistics for internal meetings and events, including space setup and materials.
  • Keep People Ops shared files and resources organized and current.
  • Maintain directories and distribution lists.
  • Support special projects and other duties as assigned.
