About The Position

The People & Culture Assistant supports people operations, recruitment, onboarding, and employee services while helping foster a positive and engaging workplace culture. This role coordinates company events, employee engagement initiatives, internal communications, and culture-building programs. The Assistant also supports training, professional development, and daily departmental operations while ensuring accuracy, confidentiality, and exceptional service.

Requirements

  • 1-2 years of experience in an administrative or human resources- related role.
  • 1-2 years of experience planning, coordinating, and executing company events and employee engagement initiatives.
  • Proficiency with HR technology, productivity tools, and Microsoft Office or similar business applications.
  • Excellent written and verbal communication skills, with a professional and service-oriented approach.
  • Strong organizational skills with the ability to manage multiple priorities, deadlines, and projects effectively.
  • Strong attention to detail and commitment to maintaining accurate employee and organizational information.
  • Ability to handle confidential employee information with discretion, professionalism, and sound judgment.
  • Ability to work collaboratively with employees and cross-functional teams at all levels of the organization.
  • Proactive, adaptable, and comfortable working in a fast-paced environment with evolving priorities.

Responsibilities

  • Serve as the subject matter expert for HR technology systems, including ActivTrak for productivity tracking, ensuring effective system utilization, data accuracy, and timely maintenance of employee information.
  • Lead the planning, coordination, and execution of company events, employee recognition initiatives, team-building activities, holiday celebrations, and other culture-building programs designed to strengthen employee engagement and workplace culture.
  • Design and produce event and communication materials, including flyers, invitations, announcements, and promotional materials, using Canva.
  • Develop and distribute People & Culture announcements through Campaigner, ensuring timely and effective communication to all team members.
  • Serve as a primary point of contact for team member inquiries, providing responsive customer service and support.
  • Support recruitment efforts for exempt and non-exempt employees, interns, and temporary personnel, assisting with coordination of the hiring process and related employment documentation.
  • Create and maintain new team member profiles in MCP database system.
  • Support the first-day experience for new hires, including preparing welcome bags, conducting facility tours, coordinating onboarding activities, and helping new team members acclimate to the organization.
  • Partner with the Director of People & Culture and Director of Training & Multimedia to develop, maintain, and facilitate comprehensive new hire orientation programs, ensuring a consistent and engaging onboarding experience.
  • Assist in developing and administering learning resources, training materials, and professional development initiatives that support team member growth, engagement, and retention.
  • Assist with research initiatives and special projects that support organizational and People & Culture objectives.
  • Coordinate conference rooms for meetings, events, and other company functions.
  • Perform general HR administrative and clerical duties, including photocopying, faxing, processing mail, preparing correspondence, maintaining documentation, and supporting day-to-day department operations.
  • Maintain confidentiality and professionalism when handling employee information, personnel records, HR systems, and sensitive team member matters.
  • Serve as the department liaison to the Safety Committee, supporting safety initiatives and promoting a safe, positive, and engaging work environment.
  • Serve as backup to the People & Culture Specialist and Director of People and Culture.
