About The Position

The Payroll Deduction Supervisor is responsible for leading the administration, accuracy, compliance, and delivery of payroll deductions and payroll processing activities. This role supervises HR specialists; oversees payroll operations from time review through post-payroll auditing; ensures compliance with applicable laws, policies, collective bargaining agreements (CBAs), and benefit plan requirements; and serves as the primary escalation point for complex payroll and deduction-related issues. The Payroll Deduction Supervisor partners closely with HR, Benefits, Finance, Payroll, HRIS, IT, bottler partners, and third-party vendors to ensure timely and accurate payroll processing and continuous process improvement.

Requirements

  • Working knowledge of payroll practices and wage-and-hour compliance (federal, state, and local), including taxation and garnishments.
  • Experience interpreting and applying CBAs and pay policies.
  • Strong analytical and problem-solving skills; ability to perform root-cause analysis and implement corrective actions.
  • High attention to detail and strong control mindset; comfortable performing audits and reconciliations.
  • Advanced Excel skills (e.g., pivots, lookups) and ability to analyze payroll reports and trends.
  • Proficiency with payroll/HRIS systems (e.g., SAP) and case management/work intake tools.
  • Strong customer service orientation and ability to communicate clearly with employees and business partners.
  • Leadership skills, including coaching, delegation, prioritization, and change management.
  • Ability to manage confidential data and exercise sound judgment.
  • Minimum: HS Diploma or GED with demonstrated payroll experience in an HR/payroll environment, including compliance, audits, reconciliations, and customer support.
  • 3+ years of payroll experience with increasing responsibility; prior lead or supervisory experience preferred
  • 2+ years of experience in an HR/payroll environment utilizing an enterprise HRIS/payroll platform (e.g., SAP) and/or case management/work intake tools.
  • Willingness and ability to travel as required by the business.

Responsibilities

  • Supervise payroll processing activities (time review, gross-to-net validation, pre- and post-payroll audits) to ensure accurate and on-time payroll delivery.
  • Ensure accurate setup, maintenance, and termination of deductions within payroll systems.
  • Monitor deductions related to benefits, retirement plans, garnishments, tax levies, union dues, and other voluntary programs.
  • Validate deduction calculations and identify discrepancies before payroll processing.
  • Assign, prioritize, and monitor daily work for payroll team members; ensure coverage for payroll calendars, deadlines, and peak periods.
  • Serves as first point of contact for resolution of escalations or complex cases and payroll issues; researches root cause and implements corrective actions.
  • Validates compliance with applicable union CBA(s), pay policies, and federal/state requirements for pay administration, taxes, garnishments, benefits, and other deductions.
  • Performs final payroll funding tasks and supports off-cycle payments, reversals, and adjustments as needed.
  • Accountable for completing payroll and third-party banking reconciliations; investigates variances and ensures timely resolution.
  • Performs/oversees transactional audits and supports internal/external audits to ensure adherence to company standards and regulatory requirements; documents results and executes remediation plans.
  • Identifies and implements changes to data governance standards, payroll processing requirements, and documentation (Promapp, job aids, checklists) as processes or regulations change.
  • Partners with bottler HR teams, Finance, and vendors to interpret pay practices and support policy/CBA changes impacting payroll.
  • Manages and provides reporting for adherence to pre-defined payroll and case/service level agreements (SLA), quality, and productivity metrics.
  • Conducts system enhancement and new software testing, which may include user acceptance testing and regression testing; coordinates with IT/HRIS and vendors.
