About The Position

Porter-Gaud School, an Episcopal, independent, coeducational day school, is seeking a full-time Payroll/HR Specialist to join its Business Office. This role reports to the Director of Human Resources and collaborates with the Controller and O'Quinn location directors. The primary responsibilities include managing payroll processing, reporting, and distribution for the school and affiliated entities, as well as providing administrative support to the Human Resources Department. A key objective is to maintain 100% accuracy in payroll, leveraging expertise in the Paylocity system.

Requirements

  • Bachelor's degree from an accredited college or university.
  • At least three years of complex payroll experience, including running multiple payrolls and a thorough understanding of payroll laws and regulations.
  • Experience with Google Docs and intermediate Excel skills.
  • Ability to maintain the strictest confidentiality with highly sensitive information.
  • High attention to detail and strong organizational skills.
  • Ability to interact with all levels of management/departments.
  • Ability to take direction from multiple parties.
  • Ability to multitask at a high level of efficiency and deal with interruptions.
  • Possesses a high degree of integrity and trustworthiness.
  • Well organized and uses time efficiently.

Nice To Haves

  • Degree in Accounting or Business is preferred.
  • Administrative human resources experience is preferred.
  • Familiarity with different payroll programs and database systems is preferred.

Responsibilities

  • Manage the generation of bi-weekly payrolls for 380+ permanent and seasonal employees, including data accumulation, organization, and accurate entry into Paylocity.
  • Maintain communication with the payroll vendor regarding general payroll changes and specific issues.
  • Stay informed about payroll laws and regulations and advise school administrators.
  • Assist with the organization of HSA funds, FSA funds, and 403(b) funds for each payroll.
  • Support faculty and staff with payroll-related inquiries and assist Accounting with payroll reconciliation.
  • Help maintain and distribute electronic and general files of payroll-related documents.
  • Download Quarterly Payroll Reports and W-2's from the payroll program and reconcile with the Accounting department.
  • Manage the W-2 year-end process.
  • Implement continuous improvements in internal payroll processes for efficiency and accuracy.
  • Partner with Finance to reconcile and clear stale-dated checks.
  • Initiate, track, and maintain background check records for candidates, ensuring timely completion.
  • Launch repeat background check processes for all current employees.
  • Launch and manage United Educators' (UE) Sexual Abuse Prevention training for new hires and coordinate biennial recertification for all employees.
  • Track and maintain records of UE training certifications and employee handbook acknowledgments, ensuring proper saving in Google Drive.
  • Reset employee passwords in the Paylocity self-service portal as needed.
  • Perform other duties and special projects as assigned to support the HR department.
