About The Position

We are seeking an experienced HRIS, payroll & HR operations specialist to join our Human Resources team on a maternity leave contract. This role is ideal for an HR professional with advanced, hands-on expertise in ADP Workforce Now who can confidently leverage the system to support HR operations, payroll administration, data integrity, and continuous process improvement. As the department’s primary HRIS resource, you will be responsible for administering and optimizing ADP Workforce Now, processing employee lifecycle transactions, supporting biweekly payroll changes, developing and maintaining HRIS procedures and standard operating procedures (SOPs), troubleshooting system issues, and working directly with ADP Support to resolve technical and system-related inquiries. We are seeking someone who understands how to maximize the capabilities of ADP Workforce Now and can recommend best practices to improve HRIS processes and efficiency. In addition to HRIS and payroll responsibilities, you will support a variety of HR operations, including benefits administration, recruitment, onboarding, employee documentation, and general HR coordination. The successful candidate is a proactive, detail-oriented HR professional with strong technical expertise, exceptional organizational skills, and a commitment to delivering accurate and responsive HR services.

Requirements

  • Post-secondary diploma or degree in Human Resources Management, Business Administration, or equivalent experience.
  • 3-5 years strong hands-on experience using ADP Workforce Now is required.
  • Demonstrated experience independently navigating ADP Workforce Now and processing employee changes.
  • Practical experience supporting biweekly payroll administration and preparing payroll change information.
  • Experience with benefits administration, recruitment, onboarding, employee documentation, and HR record maintenance.
  • Working knowledge of Ontario employment legislations, including Employment Standards Act 2000, Occupational Health and Safety Act, Ontario Human Rights Code; and AODA.
  • Strong proficiency in Microsoft Office, particularly SharePoint, Excel, Word, Outlook, and Teams.
  • Excellent attention to detail, organization, and time-management skills.
  • Strong written and verbal communication skills.
  • Demonstrated discretion and sound judgment when handling confidential employee and payroll information.

Nice To Haves

  • Preferred 3 years of HR coordination, HR administration, or HR operations experience.
  • At least 5 years of direct hands-on experience with ADP Workforce Now.
  • CHRP designation (or actively pursuing it) is an asset.
  • Experience working in a unionized environment.
  • Experience in a non-profit, public sector, broader public sector, or community services organization.

Responsibilities

  • Maintain accurate employee records and process employee changes in ADP Workforce Now.
  • Process new hires, promotions, salary changes, transfers, leaves, employment status changes, and terminations.
  • Review HRIS data for accuracy and resolve routine discrepancies.
  • Generate reports and support employee data audits and HRIS process improvements.
  • Assist employees and managers with routine ADP Workforce Now questions and system navigation.
  • Prepare and maintain the biweekly payroll change spreadsheet.
  • Gather, review, and process approved payroll-related changes within established deadlines.
  • Update applicable employee and payroll information in ADP Workforce Now.
  • Support payroll changes related to new hires, terminations, salary adjustments, leaves, benefit deductions, retroactive adjustments, and other employee changes.
  • Cross-check HR documentation, payroll spreadsheets, and HRIS records for accuracy.
  • Work closely with HR, Finance, and payroll contacts to resolve routine payroll discrepancies.
  • Support recruitment activities, including job postings, candidate screening, interview coordination, and candidate communications.
  • Prepare HR letters, employment agreements, contract extensions, salary change letters, employment change documentation, and general employee communications.
  • Maintain accurate and confidential employee files and HR records.
  • Support employee lifecycle processes, including onboarding, employment changes, leaves, and offboarding.
  • Respond to routine employee and manager questions regarding HR processes, documentation, benefits, and payroll administration.
  • Support occupational health and safety documentation, training records, workplace inspections, and related compliance requirements.
  • Support HR reporting, tracking, documentation, and process improvement initiatives.
  • Other assigned HR duties as required.
  • Process benefit enrolments, changes, dependent updates, and terminations.
  • Maintain accurate benefit information and support the review of benefit deductions.
  • Respond to routine employee questions regarding benefit eligibility and administrative processes.
  • Liaise with benefit providers and internal stakeholders as required.
