We are looking for a Payroll and HR Administrator who brings exceptional organization, technical skills, and a service-first mindset to one of the most important functions in our organization. In this role, you will ensure employees are paid accurately and on time and assist with other HR tasks while providing responsive, knowledgeable support to team members across the company. This is a great opportunity for someone with 3-5 years of hands-on payroll processing experience. This position will be based in our Colorado Springs office and will require full-time attendance in the office for the first six months for training and evaluation. After the initial training period, this position may be considered for a hybrid work arrangement with a minimum of three days in the office. Requirements

  • Minimum of three years of payroll processing experience in a professional office environment.
  • Payroll experience must include full-cycle payroll processing.
  • Exceptional detail orientation - candidates advancing to the second round of interviews will be required to pass a detail orientation and payroll knowledge test.
  • Knowledge of payroll regulations, procedures and software.
  • Understanding of wage garnishment procedures.
  • Understanding of state withholding procedures and the process to set up state accounts.
  • Good understanding of HR, Benefits and Payroll processes and laws to include but not limited to: FLSA, ACA, FMLA, ADA, and FAMLI.
  • Strong problem-solving ability: ability to identify and resolve problems in the timely manner; develop alternative solutions; use reason even when dealing with emotional topics.
  • Proficient in Microsoft Office applications, with advanced knowledge/skill in Microsoft Word, Excel and Outlook.
  • Must have a professional appearance and demeanor.
  • Excellent written and verbal communication skills.
  • Able to maintain strict confidentiality of employee and company information.
  • Must be extremely organized, have a high level of initiative and flexibility.
  • Able to work independently with minimal supervision.
  • Able to interact professionally with staff at all levels of the organization.
  • High school diploma required
  • Valid driver's license in conjunction with successfully passing the Company’s MVR check.

Nice To Haves

  • Degree in accounting or human resources a plus.
  • Recent experience using ADP Workforce Now payroll processing software is strongly preferred.
  • Multi-state payroll processing experience preferred.

Responsibilities

  • Process bi-weekly, multi-state payroll for companies accurately and on time using payroll/HRIS and ERP systems (currently ADP Workforce Now and Deltek Vantagepoint).
  • Review timekeeping records, payroll changes, deductions, earnings, adjustments, and supporting documentation to help ensure employees are paid correctly.
  • Responsible for accurate and timely preparation (through payroll companies) and distribution of annual w-2 forms for employees.
  • Respond to wage garnishment notices and provide documentation to employees and accounting department.
  • Respond to routine payroll questions and help resolve pay-related issues with professionalism, care, and follow-through.
  • Maintain strict confidentiality of employee files/information and any confidential Company information.
  • May assist with benefits administration to include but not be limited to entering new enrollments, terminations, and changes into vendor systems, responding to participant questions, and reviewing Carrier Connect submission and/or error reports.
  • Accurately enter new hires, terminations, promotions, and other employee changes into payroll/HRIS and ERP (currently ADP Workforce Now and Deltek Vantagepoint).
  • May assist Director of HR with annual ESOP administration to include audit material preparation and distribution of annual statements.
  • Provide administrative assistance to the Human Resources Director and Deputy Director with letters, reports, spreadsheets, and presentations as needed.
  • Assist with benefit plan and work comp annual audits and government census requests.
  • Run reports from HRIS and ERP as needed for team, directors and for project and proposal support.
  • May file and monitor work comp and auto insurance claims.
  • Respond to unemployment insurance notices.
  • Provide back-up for receptionist duties as needed: professionally assist all callers and visitors and redirect as appropriate, accept deliveries, open/close office.
  • Assist with office/company celebrations as needed.
  • Other duties as assigned.
