In this role, you’ll leverage your payroll expertise and attention to detail to ensure accurate and timely payroll processing, maintain compliance with applicable legislation and company policies, and build strong relationships with employees, managers, and cross-functional teams. You'll collaborate closely with HR, Finance, and operational stakeholders to deliver exceptional service and support organizational objectives. This is a seasonal part-time (approx. 24 hours per week) on-site role based in North Bay, Ontario. Position Summary The Payroll Coordinator is responsible for supporting the accurate and timely processing of payroll for employees across the organization. Reporting to the Payroll Manager, this role performs payroll administration activities, maintains employee payroll records, processes employee payroll changes and related payroll data, and assists with compliance reporting and reconciliations.

Requirements

  • Minimum 1 year of payroll administration or payroll-related experience, preferably in a medium-to-large organization.
  • Basic knowledge of Canadian payroll legislation and statutory requirements.
  • Experience using payroll systems and/or HRIS platforms.
  • Strong attention to detail and commitment to data accuracy.

Responsibilities

  • Support the end-to-end payroll process for salaried and hourly employees across all provinces.
  • Review and process payroll transactions including new hires, terminations, salary changes, promotions, leaves of absence, and benefit updates.
  • Enter and maintain payroll data, ensuring accuracy and completeness.
  • Process employee timekeeping information and validate hours, overtime, and premiums.
  • Prepare payroll adjustments, retroactive payments, off-cycle payments, and corrections as required.
  • Assist with payroll balancing and reconciliation activities prior to payroll processing.
  • Investigate and resolve routine payroll discrepancies and escalate complex issues to the Payroll Manager.
  • Ensure compliance with federal and provincial payroll legislation and tax requirements.
  • Stay current on changes to payroll laws, employment standards, and payroll best practices.
  • Assist with the preparing and submitting statutory remittances (taxes, CPP/QPP, EI, garnishments, benefits, etc.)
  • Maintain employee payroll information within payroll and HRIS systems.
  • Review payroll data for accuracy and identify discrepancies requiring correction.
  • Assist with testing payroll system updates, enhancements, and upgrades.
  • Support payroll-related projects and process improvement initiatives.
  • Ensure payroll earnings, deductions, and employee coding are maintained accurately.
  • Support payroll reconciliations, including earnings, deductions, benefits, and statutory balances.
  • Assist with month-end and year-end payroll activities.
  • Support annual tax reporting processes, including T4 preparation and reconciliation.
  • Respond to questions regarding pay, deductions, direct deposits, tax forms, and payroll policies.
  • Collaborate with HR regarding employee status changes and payroll implications.
  • Provide timely and professional customer service while maintaining confidentiality.
