About The Position

The Payroll Coordinator supports the Payroll Manager in the administration and processing of payroll for a multi-state construction workforce across Michigan, Ohio, and Minnesota. This position is responsible for processing weekly payroll for both hourly and salaried employees, administering union payroll requirements, and ensuring compliance with collective bargaining agreements (CBAs), prevailing wage regulations, and applicable federal and state payroll laws. Key responsibilities include maintaining payroll-related data within ADP Workforce Now, managing union fringe benefit contributions, preparing and submitting certified payroll reports, and ensuring the accuracy of union wage rates, classifications, and fringe tables. The Payroll Coordinator also supports union audits, payroll reporting, recordkeeping, and compliance initiatives while serving as a resource for payroll-related inquiries. This role requires strong attention to detail, knowledge of construction payroll practices, and the ability to manage multiple priorities in a fast-paced environment.

Requirements

  • Minimum of 2–4 years of payroll experience required.
  • Strong Excel skills with the ability to create, manage, and analyze spreadsheets and perform data calculations.
  • Working knowledge of federal, state, and local tax and wage laws, as well as applicable wage and hour regulations.
  • Excellent communication and interpersonal skills with a strong customer-service mindset.
  • Exceptional attention to detail and strong problem-solving abilities.
  • Strong organizational skills with the ability to prioritize multiple tasks and meet deadlines.
  • Ability to work effectively in a fast-paced, deadline-driven environment.
  • Ability to maintain confidentiality and handle sensitive payroll and employee information with discretion.
  • Ability to work collaboratively with employees and departments at all levels of the organization.
  • Proficiency in Microsoft Office Suite, with strong Excel skills required.
  • Experience with payroll software applications; ADP Workforce Now experience preferred.
  • Ability to use payroll systems to maintain employee data, process payroll-related information, maintain union, fringe, and prevailing wage rate tables, and generate reports.
  • Ability to analyze payroll data and identify discrepancies or compliance issues.

Nice To Haves

  • Familiarity with handling multiple pay rates, union regulations, prevailing wage requirements, and job-specific payroll requirements is highly preferred.
  • Experience with or knowledge of construction-specific payroll practices, including union payroll, prevailing wages, certified payroll, and Davis-Bacon requirements, preferred.
  • Associate's degree or certification in Accounting, Business Administration or a related is preferred.

Responsibilities

  • Process weekly payroll for office personnel in Michigan, Minnesota, and Ohio, including reviewing timesheets, job codes, allowances, record retention, and expense reimbursements.
  • Process multi-state and multi-union monthly union fringe contributions, including calculations, reporting, and remittances.
  • Maintain and update union wage rates, classifications, fringe benefits, and related rate tables within the payroll system.
  • Add and maintain prevailing wage rates for applicable projects in the payroll system.
  • Prepare and submit weekly and monthly certified payroll reports for approximately 100 projects across Michigan, Minnesota, and Ohio.
  • Ensure certified payroll reporting complies with applicable prevailing wage and Davis-Bacon requirements.
  • Support union audits by gathering payroll records, validating wage rates and classifications, and responding to information requests.
  • Verify employee wage rates, classifications, fringe benefits, and other union payroll-related information for accuracy and compliance.
  • Maintain accurate and confidential employee payroll records in ADP Workforce Now and ensure payroll documentation is retained in accordance with company and regulatory requirements.
  • Collaborate with Human Resources, Superintendents, Accounting, and Management to provide payroll information and reporting.
  • Review and resolve discrepancies related to timesheets, job codes, allowances, reimbursements, wage rates, and payroll data.
  • Provide payroll processing support and cross-train with the Payroll Clerk to provide mutual backup coverage as needed.
  • Provide customer service support to field employees by answering payroll-related questions and following up on inquiries.
  • Perform other payroll-related duties and special projects as assigned.
