About The Position

The Payroll Administrator supports a large, multi-state payroll operation by reviewing and reconciling project timecards, preparing weekly and off-cycle payroll, and handling payroll-related inquiries and corrections. This role sits on the Workforce Management/Timekeeping team and focuses heavily on payroll auditing, labor hours review, and historical corrections rather than traditional end-to-end payroll processing. The position offers significant exposure to complex construction projects, prevailing wage requirements, and advanced systems, as well as strong opportunities for professional growth within a large shared services environment.

Requirements

  • Bachelor’s degree or an associate degree with at least 6 months of payroll experience.
  • Foundational payroll experience, including exposure to timecard review, payroll processing, or payroll auditing.
  • Strong proficiency in Microsoft Excel, including data views, graphing, pivot tables, and vlookups.
  • Ability to analyze payroll and labor data with a high level of attention to detail and accuracy.
  • Strong written and verbal communication skills for handling payroll inquiries via phone and email.
  • Ability to build effective working relationships with team members across different project teams and organizational levels.
  • Comfort working in a high-volume environment supporting thousands of employees across multiple states.
  • Strong organizational and time management skills, with the ability to prioritize tasks around weekly and daily payroll deadlines.
  • Commitment to maintaining confidentiality and handling sensitive employee information appropriately.

Nice To Haves

  • Experience working in a large shared services environment that houses Accounting, Finance, and Payroll functions.
  • Exposure to construction industry payroll, including craft employees and project-based labor hours.
  • Experience with prevailing wage requirements and related labor hour auditing.
  • Experience in payroll auditing or workforce management/timekeeping rather than solely traditional payroll processing.

Responsibilities

  • Review and reconcile project timecards prior to the weekly pay run to ensure accuracy and compliance with company policies and applicable regulations.
  • Prepare and review weekly payroll, including accurate data entry of payroll information and generation of associated reports as needed.
  • Prepare daily off-cycle checks, including retroactive pay and other special payments, ensuring timeliness and accuracy.
  • Research and resolve payroll inquiries from team members via phone and email, providing clear explanations and excellent customer service.
  • Serve as a payroll team liaison for project teams, building strong working relationships and supporting their payroll and timekeeping needs.
  • Complete unemployment earnings requests and other employment-related wage verifications in a timely and accurate manner.
  • Set up new craft payroll team members in the payroll system, process salary and pay-related updates, and handle terminations in accordance with established procedures.
  • Support employee timekeeping activities, including review of time entries, identification of discrepancies, and coordination of corrections.
  • Perform historical corrections to payroll and labor records, ensuring accurate labor hours, prevailing wage compliance, and proper documentation.
  • Collaborate effectively with colleagues at different organizational levels and from diverse backgrounds to support smooth payroll operations.
  • Utilize Excel to analyze payroll and labor data, create data views, graphs, pivot tables, and vlookups to support auditing and reporting needs.
