About The Position

National Jewish Health is seeking a Payroll Administrator to ensure accurate, compliant, and timely payroll processing for employees across the organization. This role is responsible for payroll data accuracy and consistency, administering payroll taxes and deductions, and serving as a trusted resource for employee payroll inquiries. In this role, the Payroll Administrator will: Process full-cycle semi-monthly payroll while ensuring accurate deductions for benefits, taxes, garnishments, and retirement contributions Review and validate timekeeping records to ensure accurate reporting and policy compliance Calculate, reconcile, and remit payroll taxes while supporting quarterly and year-end reporting, including W-2 preparation Provide responsive support to employees regarding pay, tax withholding, and payroll processes Develop payroll reports and partner with Human Resources, Finance, and Budget teams to support reconciliation and compliance activities Prior experience in an academic, research, or grant-funded environment is preferred. The Payroll Administrator is responsible for the accurate, compliant, and timely processing of payroll, ensuring compliance with federal, state, and local regulations. This role maintains payroll data integrity, administers deductions and tax filings, reconciles payroll accounts, and serves as a primary point of contact for employee payroll inquiries. The position requires strong technical proficiency, attention to detail, confidentiality, and regulatory knowledge.

Requirements

  • Associate's degree in accounting, finance, business administration, or a related field is required.
  • A minimum of 3 years’ experience processing payroll is required.
  • Experience in PeopleSoft and UKG software is strongly preferred.
  • Experience with multi-state tax regulations and Foreign National Tax Treaties preferred.

Nice To Haves

  • Bachelor’s Degree preferred.
  • Prior experience in an academic, research, or grant-funded environment is preferred.
  • Experience in processing multi-state payroll is preferred.
  • Experience in an academic medical center preferred.
  • Certified Payroll Professional (CPP) preferred.

Responsibilities

  • Processes the full-cycle semi-monthly payroll for all employees.
  • Ensures accurate deductions for benefits, garnishments, taxes, and retirement contributions.
  • Processes final pay, off-cycle payrolls, and special payments as required.
  • Reviews and validates timekeeping records, ensuring accurate time reporting and policy compliance.
  • Respond to employee inquiries regarding pay, taxes, and direct deposit.
  • Provides payroll documentation (employee pay statements) and educates employees on payroll process and timeliness.
  • Ensures compliance with federal, state, and local wage and hour laws and maintains advanced knowledge of payroll regulations.
  • Directs and implements required legal or policy changes.
  • Calculates, reconciles, remits, and records payroll taxes on a pay-period, monthly, quarterly, and annual basis.
  • Prepares and processes year-end payroll reporting, including W-2s and related tax filings.
  • Maintains oversight and compliance of foreign national employees, including taxation and tax treaty interpretation.
  • Processes and monitors retroactive labor distributions to ensure payroll costs are accurately allocated to appropriate funding sources, including sponsored projects, in support of institutional and grant reporting requirements.
  • Develops and tests payroll system enhancements, upgrades, and new functionality.
  • Configures and maintains payroll system elements, including pay types, deductions, and pay periods.
  • Creates and generates payroll reports, data-tracking tools, and analytical solutions to support business needs.
  • Provides payroll reporting and generates supporting information for accounting staff to assist with payroll account reconciliation and the investigation of discrepancies.
  • Partners with Human Resources, Finance, Budget, and other teams while providing responsive payroll support and maintaining strict confidentiality.
