About The Position

The Patient Services Representative is responsible for greeting patients, updating their information in the electronic medical records (EMR), managing appointments, collecting payments, and ensuring smooth patient flow. This role involves direct patient interaction, administrative tasks, and coordination with various departments to provide comprehensive patient care and support.

Responsibilities

  • Greets patients upon arrival and directs them to the appropriate area.
  • Updates patient demographic and insurance information in the EMR for new and existing patients.
  • Ensures patient check-in includes accurate demographic, insurance, and slide information.
  • Secures necessary authorizations from outside providers.
  • Enters medical, pharmacy, transportation, and ancillary service visits, along with cash payments, into the computer system.
  • Generates STAT referrals as assigned.
  • Collects payments for services (current and past) at checkout.
  • Explains patient charges at checkout.
  • Prepares daily reconciliation of input data to computer output for charges and payments.
  • Prepares and delivers daily bank deposits of cash received.
  • Answers patient questions regarding their accounts and recommends balance adjustments.
  • Maintains an accurate and up-to-date computerized appointment system.
  • Records appointments scheduled, canceled, or broken.
  • Notifies patients and staff of cancellation or schedule changes.
  • Marks daily No-Shows in the EMR system and notifies the provider.
  • Explains CVHS services and patient policies and procedures.
  • Identifies patients who may qualify for financial assistance and refers them to CVHS outreach enrollment.
  • Follows up on broken appointments as requested by providers.
  • Refers patient complaints to appropriate CVHS personnel for resolution.
  • Arranges, coordinates, and prepares daily lists for transportation when necessary.
  • Separates, sorts, and scans laboratory work, dictations, EKGs, x-ray reports, and medical data from other sources into the EMR.
  • Ensures all patient records have identification before scanning into EMR.
  • Maintains a log of release of information for outgoing requests.
  • Prepares, prints, and faxes medical records requested from outside organizations within the EMR.
  • Reviews EMR for quality assurance as requested.
  • Performs miscellaneous tasks such as duplicating forms and telephoning.
  • Processes Payment Plans.
  • Performs other duties as assigned by supervisors.
  • Acts as backup for Medical Records Clerks or other Front Desk staff as requested.
  • Ensures records of no-shows are delivered to the appropriate provider's office.
  • Promotes a team-based, patient-centered medical practice model.
  • Attends work as scheduled.
