The Patient Services Representative role involves professionally greeting and assisting clinic visitors and patients in person and via phone, performing check-ins and intakes, updating patient demographics, verifying insurance eligibility, handling inquiries, and managing administrative tasks. Team members are expected to adhere to all federal, state, and local laws and regulations, as well as UCS policies and procedures, including patient confidentiality, HIPAA/42CFR part 2, and CARF requirements, while operating in alignment with UCS Healthcare’s core values and striving to deliver the highest level of patient-centered care.

Requirements

  • Proven experience in a customer service or patient-facing role, preferably in a healthcare setting.
  • Strong communication skills, both verbal and written, with an emphasis on active listening and empathy.
  • Ability to use de-escalation skills in resolving conflict when necessary.
  • Ability to work both independently and with a team.

Nice To Haves

  • Associate degree is preferred.
  • Prior experience with insurance verification processes and understanding of healthcare billing procedures.
  • Knowledge of compliance regulations such as HIPAA.
  • Familiarity with medical billing, Microsoft Office Suite Software and Teams.

Responsibilities

  • Warmly greet patients and visitors, providing a professional and compassionate first point of contact.
  • Efficiently handle inquiries, provide information, and offer assistance to patients and visitors both in person and via telephone.
  • Engage patients and team members with check-in procedures, ensuring accurate collection and updating of patient information into an EHR system.
  • Complete daily walk-in/telephone intakes.
  • Handle administrative duties such as scheduling appointments, filing, and managing correspondence.
  • Verify patient insurance coverage and eligibility for services rendered.
  • Explain insurance coverage details and financial responsibilities to patients.
  • Collaborate effectively with other departments to ensure seamless patient services.
  • Respond to inquiries from various departments within the clinic promptly and professionally.
  • Complete and apply training to maintain and enhance knowledge of clinic policies, procedures, and relevant software.
  • Attend departmental meetings to stay informed about updates, changes, and improvements.
  • Balancing and finalizing the cash sheet daily.
  • Assisting in departmental projects as needed.
  • Complete required training in a timely manner.
  • Other duties as assigned
