About The Position

We are seeking a Patient Service Representative for our Behavioral Health department. This is a full-time, benefit-eligible, hybrid position requiring 3 days in the office and 2 days remote. The role involves greeting patients, scheduling appointments and procedures, managing phone calls, preparing patient charts, and performing various clerical duties. The ideal candidate will have excellent customer service skills, strong organizational abilities, and a knowledge of medical office procedures.

Requirements

  • High School Graduate or GED required.
  • Ability to communicate in English, both orally and in writing.
  • Excellent interpersonal and customer service skills.
  • Accurate computer data entry skills.
  • Ability to organize and perform multiple tasks in a timely manner.
  • Basic proficiency in computer use required.

Nice To Haves

  • Associate Degree preferred.
  • Previous PSR experience preferred.
  • Previous office experience preferred.
  • Knowledge of medical office and terminology preferred.
  • Previous experience with Standard Office Technology in a Window based environment preferred.
  • Experience with EHR, Practice Management System and Departmental/Ancillary Systems preferred.
  • Ability to commute to satellite offices as needed.

Responsibilities

  • Greeting patients/family, scheduling patient appointments, scheduling hospital and ambulatory admissions/procedures.
  • Answering the telephone promptly and dealing with callers' needs.
  • Directing calls appropriately, taking accurate messages and delivering them to the appropriate individual.
  • Scheduling future appointments, tests, and completing referrals as ordered by the physician.
  • Maintaining communication resources, such as on-call schedules and physician phone/beeper numbers.
  • Preparing charts for new patients, ensuring all required forms are included.
  • Converting temporary records to permanent records before the close of the day.
  • Requesting medical records and performing chart preparation to provide physicians with necessary information prior to visits.
  • Printing minimal medical records information from the electronic record if the chart is not available.
  • Reconciling encounters daily according to policy and guidelines.
  • Monitoring supply inventory and completing requisitions for supplies, forms, equipment, or services.
  • Performing various clerical duties including faxing, photocopying, filing, and mailings.
  • Obtaining, verifying, and updating patient information, maintaining confidentiality.
  • Accurately completing any/all necessary forms for patients.
  • Respecting patient’s rights by knocking, calling patients by name, and identifying self before entering patient rooms.
  • Establishing and maintaining a positive working relationship with physicians and nursing staff.
  • Protecting the privacy and confidentiality of patients and employees.
  • Communicating any problems, equipment concerns, or issues promptly to the Nurse Manager.
  • Demonstrating a working knowledge of booking and scheduling inpatient, outpatient, and special procedures.
  • Arranging for specialty equipment/services.
  • Interacting with outside vendors/contracted services.
  • Demonstrating understanding of submission of necessary documents for the hospital.
  • Verbalizing procedure for collection of pre-admission testing data.
  • Demonstrating a working knowledge of insurance and pre-certification requirements.
  • Arranging, typing, and distributing schedules.
  • Maintaining office supplies and equipment.
  • Providing training to other office staff.
  • Logging surgical procedures.
  • Maintaining the scheduling system.
  • Demonstrating working knowledge for rescheduling and canceling procedures.
  • Verbalizing customer service skills to alleviate patient anxiety.
  • Demonstrating customer service skills when communicating with peers.
  • Collating and submitting information.
  • Communicating repair orders to appropriate personnel.
  • Demonstrating good judgment in scheduling procedures to increase physician productivity.
  • Demonstrating understanding of fire safety and emergency procedures.
  • Performing other job duties as required.
