About The Position

The Patient Scheduling Specialist will work in a Hematology/Oncology Clinic at Glens Falls Hospital. This role is crucial in coordinating patient appointments and ensuring they align with complex treatment plans. The specialist will act as a liaison between patients, physicians, clinical staff, and various hospital departments to facilitate seamless scheduling and care delivery. Requirements

  • High School diploma or equivalent
  • Minimum 1 year of experience in a Healthcare Environment including medical scheduling experience required
  • Excellent customer service skills
  • Excellent command of the English language
  • Knowledge of medical terminology
  • Excellent computer and phone skills
  • Problem solving/trouble shooting techniques
  • Excellent written and oral communication skills

Nice To Haves

  • Computerized medical scheduling experience strongly preferred
  • Knowledge of some anatomy/physiology preferred

Responsibilities

  • Schedules multiple appointments and exams appropriately.
  • Is aware of complex treatment plans to ensure scheduled appointments compliment the plan of care based on diagnosis, treatment regime and required timing of various visits (including lab, MD and treatment appointments).
  • Serves as a patient liaison and coordinator with physicians, clinical staff, Medical and Radiation Oncology, other departments and ancillary hospital personnel to ensure appropriate testing and scheduling occurs.
  • Enters physician time off into schedule and collaborates with physicians to coordinate patient scheduling related to time off. Ensures that daily schedules and reports area available for physician and nursing staff.
  • Receives referrals from external physician offices and determines which physician receives the referral, based on diagnosis, appointment availability and rotation.
  • Answers phones in a professional and timely manner, communicating a positive image of the Cancer Center.
  • Contacts patients to reschedule appointments or exams as needed, including missed visits. Appointments are prioritized according to individual patient needs.
  • Facilitates insurance verification and benefits.
  • Identifies scheduling problems and reports them to supervisor. Keeps the supervisor informed of any issues needing resolution. Collaborates with physicians when scheduling conflicts arise to prevent delays.
  • Welcomes, observes, and monitors patient waiting or holding areas adjacent to location for timeliness and patient problems. Notify nursing staff if problems or delays arise.
