About The Position

This position is responsible for scheduling all types of complex Interventional Radiology procedures, paying close attention to specific anatomical descriptions and instructions. The role involves utilizing multiple computer applications, including scheduling software like EPIC/UChart/Radiant, and network drives to schedule procedures and appointments across various departments and entities such as Kendall, Plantation, Lennar, UMH, ABLEH, DFB, and UMHC. The scheduler must use intermediate and complex medical terminology and precise scheduling protocols to ensure compliance. They will coordinate processes and timing as required by physicians and facilities for special procedures. This includes obtaining necessary information from referring physicians or patients, such as medical history, and documenting it in Uchart. The role also involves notifying appropriate parties if a patient requires labs or premedication for allergies or oral sedation, and obtaining necessary implant information. The scheduler must obtain the order form via email or fax before scheduling, verifying it contains all required patient and physician information, including the unique National Provider Identification number (NPI). They will also notify on-site insurance verifiers of same-day or next-day appointments, inform patients of any pending authorizations, and scan external orders or link them with necessary documentation in Uchart. The scheduler is expected to use AIDET (Acknowledge, Introduce, Duration, Explain, Thank you) as per standard policy, notify referring physicians of rescheduled appointments and no-shows, and schedule callbacks requested by radiologists. Daily work on the Physicians order queue in Uchart is also a key responsibility. The list of duties is not exhaustive and may be expanded as needed.

Requirements

  • High School diploma or equivalent education is required.
  • One (1) year experience in an outpatient clinic setting, outpatient department or admitting department.
  • Possess knowledge of medical terminology.
  • Ability to operate computer terminal, retrieving and inputting information, as required accurately.
  • Ability to communicate effectively in verbal and written form.
  • Ability to communicate well with physicians, radiologists, and other professionals.
  • Excellent customer service skills.
  • Pleasant personality and speaking voice essential for call center.
  • Ability to work under a high level of stress with time constrains while maintaining composure and sensitivity to each patient’s individual situation.
  • Ability to interact and assist patients of all ages and patients with special needs.
  • Proficiency computer skills to include MS Office, Excel, and Word, Outlook and Access and other operating systems as needed.

Responsibilities

  • Utilizing multiple computer applications, scheduling software (i.e. EPIC/UChart/ Radiant), network drives to schedule multiple procedures and appointments within multiple departments and entities.
  • Using intermediate and complex medical terminology and precise scheduling protocols to ensure compliance.
  • Coordinating processes and timing as required by the physician and facility for special procedures.
  • Obtaining information from the referring physician or patient as required for the exam such as: medical history and document in Uchart.
  • Notifying appropriate parties if patient requires labs or premedication for allergies, oral sedation medication, obtain necessary implant information.
  • Obtaining order form via email or fax prior to scheduling an appointment.
  • Verifying that the radiology order form obtains patients name, DOB, MRN, specific type of test(s) ordering, patient’s diagnosis (ICD-9 code), brief description of patient’s signs and symptoms, ordering practitioner’s signature, and unique National provider identification number (NPI).
  • Notifying on-site insurance verifiers via email of any same day or next day appointments.
  • Informing patient of any pending authorization.
  • Scanning patient’s external orders in Uchart or link to the accession number with any additional necessary documentation.
  • Using AIDET as per our standard policy (Acknowledge, Introduce, Duration, Explain, Thank you).
  • Notifying referring physician of rescheduled appointment and no-show patients.
  • Scheduling callbacks requested by radiologists for next available appointment.
  • Working the Physicians order queue in Uchart daily.
  • Scheduling appointment for next available or date and time patients request, if permissible.
