The Patient Scheduler III is a senior-level role within Centralized Scheduling, responsible for coordinating complex patient appointments, securing insurance authorizations, and ensuring accurate documentation across multiple systems. This role serves as a key liaison between patients, providers, and departments, while also supporting team development through training, auditing, and mentorship.

Requirements

  • High school diploma or GED
  • Minimum 2 years of customer service experience, preferably in a healthcare setting
  • Minimum 1 year of experience as a Patient Scheduler II or equivalent experience
  • Experience with insurance verification, pre-certification, and authorization processes
  • Working knowledge of medical terminology
  • Strong communication, multitasking, and organizational skills
  • Ability to interpret insurance responses and explain patient financial responsibilities
  • Proficiency with computer systems and scheduling software

Nice To Haves

  • 3+ years of experience working with insurance authorizations in a healthcare setting
  • Experience in high-volume call environments
  • Familiarity with insurance portals such as Availity
  • Typing speed of 45+ words per minute

Responsibilities

  • Coordinate and schedule complex patient appointments, procedures, and exams across multiple departments
  • Secure and verify insurance pre-certifications, authorizations, and required clinical documentation
  • Accurately enter and validate patient demographics, insurance, and provider information in scheduling systems
  • Serve as a primary resource for scheduling staff, troubleshooting issues and providing guidance
  • Train and mentor Patient Scheduler I and II team members
  • Conduct audits to ensure accuracy in scheduling, documentation, and adherence to protocols
  • Collaborate with physician offices, internal departments, and external stakeholders to ensure seamless scheduling
  • Prioritize high-volume calls, orders, and requests based on urgency and patient/provider needs
  • Communicate preparation instructions and appointment details clearly to patients
  • Maintain compliance with HIPAA and regulatory requirements
  • Participate in quality improvement initiatives and process enhancements
  • Perform administrative duties including data entry, phone support, and documentation
