About The Position

Beyond Pediatric Therapy is a multidisciplinary pediatric therapy practice dedicated to empowering children and families. Our team provides a wide range of services, including speech therapy, occupational therapy, physical therapy, feeding therapy, mental health counseling and early childhood education. We pride ourselves on fostering a positive, organized, and welcoming environment for both our clients and staff. As our practice continues to grow, we are seeking a dedicated and detail-oriented Office/Administrative Support professional to join our team and help manage the day-to-day operations of our busy office.

Requirements

  • High school diploma or GED required.
  • Strong organizational skills with the ability to multitask and prioritize.
  • Excellent communication skills with a professional and welcoming demeanor.
  • Strong attention to detail with excellent follow-through.
  • Ability to work independently and as part of a collaborative team.
  • Dependable, punctual, and comfortable working in a fast-paced environment.

Nice To Haves

  • Previous experience in a medical office, therapy practice, or busy administrative setting preferred.
  • Experience with data entry, scheduling software, and/or electronic health record (EHR) systems preferred.
  • Experience in insurance verification, billing assistance, or prior authorization is a plus.

Responsibilities

  • Checking patients in and out for appointments.
  • Collecting copays and other payments at the time of service.
  • Answering phones, responding to inquiries, and taking detailed messages.
  • Scheduling and rescheduling patient appointments.
  • Assisting with billing processes, including processing payments, assisting with invoicing, and tracking outstanding balances.
  • Assisting with insurance verification and obtaining authorization for services.
  • Managing referrals and assisting with intake coordination.
  • Entering data accurately and efficiently into electronic health record (EHR) systems.
  • Assisting therapists with administrative tasks such as copying, scanning, and preparing materials.
  • Monitoring and maintaining front office supplies and ensuring the reception area is clean and organized.
  • Providing support to clients and families by answering questions and guiding them through the check-in process.
