The Patient Access Representative (PAR) is responsible for patient registration and scheduling. Depending on the setting, the PAR may perform only registration or scheduling duties, or both. Additional duties may be assigned as needed. The role involves greeting patients, verifying demographics, registering and/or scheduling patients, and handling related paperwork. This includes creating electronic files, scanning and routing documents, educating patients, and obtaining signatures. The PAR also establishes financial responsibility, assists with payment arrangements, and collects co-payments and other payments. In a scheduling role, the PAR schedules appointments and procedures, obtains referrals, conducts pre-authorizations, arranges interpreter services, and checks patients in and out. Collaboration with the nursing team and providers is key to coordinating appointments. The role may also involve managing provider schedules, resolving work queue issues, and handling recall and waitlists. Operation of multi-line telephones and potentially serving as a switchboard operator are also part of the duties. Additional responsibilities may include chart preparation, discussing pre-payment, initiating financial assistance, tracking patient visits, health information management, report generation, administering assessments, coordinating Telemed appointments, provider and schedule maintenance, charge entry/billing, reminder calls, hospital admissions, and general office tasks like copying and faxing. The Patient Access Representative also serves as a mentor for new staff, promotes a respectful and cooperative atmosphere, and must be able to work both independently and as part of a team. The role requires excellent customer service, empathy, and professionalism, along with a working knowledge of medical terminology and professional written communication skills.
