About The Position

This role involves greeting and checking in patients, managing appointment schedules, and ensuring accurate data entry in both Epic and OPIE systems. The Patient Access Representative plays a crucial role in the daily operations of the Orthotics & Prosthetics department, ensuring a smooth and efficient patient experience from arrival to departure. This position requires excellent organizational and communication skills, with a focus on patient care and departmental readiness.

Requirements

  • High School degree or equivalent required.
  • Experience in an office-related position with patient contact.
  • Ability to communicate with the public clearly.
  • Some medical terminology experience.
  • Computer skills (MS Word, Excel).
  • Excellent organizational skills.

Responsibilities

  • Greets and checks in patients in a warm, friendly, professional, and expedient manner.
  • Manages the drop-in list and referrals to ensure appointments are matched with the appropriate provider.
  • Prepares the department for patient reception by opening doors, turning on lights, and organizing worksheets.
  • Communicates calls or orders from the OR to the appropriate provider.
  • Enters patient appointments in Epic and ensures accurate transfer to OPIE, including filling out C&S forms and DAR printed lists.
  • Answers phone calls, schedules, and reschedules appointments professionally and expediently, triaging calls as needed.
  • Monitors the OPIE WIP for accuracy, ensuring orders are scanned, patient diagnoses are updated, and RX summaries are correct.
  • Reviews the Epic order work queue to ensure orders are attached or deleted correctly.
  • Determines completion of duties at the end of the shift and communicates with staff for assistance if needed.
  • Ensures all exam rooms are empty at the end of the day, closes the overhead door, and ensures no PHI is left out.
  • Reconciles EOD sheets daily and monthly if closing the department.
  • Enters O&P charges into the Epic system if trained, coordinating with the billing coordinator.
  • Contacts no-show or cancelled appointments as needed.
  • Performs other duties as assigned by their supervisor.
