About The Position

This role involves greeting and checking in patients, managing appointment schedules, and ensuring a smooth patient flow within the Orthotics & Prosthetics department. The Patient Access Representative will be responsible for maintaining accurate patient records, communicating with healthcare providers, and performing various administrative tasks to support patient care.

Requirements

  • High School degree or equivalent required.
  • Experience in an office-related position with patient contact.
  • Ability to communicate with the public clearly.
  • Some medical terminology experience.
  • Computer skills (MS Word, Excel).
  • Excellent organizational skills.
  • Time management skills.
  • Communication skills.

Responsibilities

  • Greets and checks in patients in a warm, friendly, professional, and expedient manner.
  • Checks in patients to the department or makes return appointments.
  • Manages the drop-in list and referrals to ensure appointments are matched with the appropriate provider.
  • Prepares the department to receive patients by opening doors, turning on lights, and organizing work sheets.
  • Communicates calls or orders from the OR to the appropriate provider.
  • Enters patient appointments in Epic and ensures they transfer accurately to OPIE.
  • Fills out C&S forms and the DAR printed list for accuracy.
  • Answers phone calls, schedules, and reschedules appointments professionally and expediently.
  • Triage calls to the appropriate department or person.
  • Monitors the OPIE WIP for accuracy, ensuring orders are scanned, patient diagnoses are updated, and RX summaries are correct.
  • Reviews the Epic order work queue to ensure orders are attached or deleted correctly.
  • Determines if all duties are completed at the end of the shift and communicates with other staff for assistance if needed.
  • Ensures all exam rooms are empty at the end of the day, closes the overhead door, and ensures no PHI is left out.
  • Reconciles EOD sheets daily and monthly if closing the department.
  • Enters O&P charges into the Epic system if trained in charge entry.
  • Coordinates charge entry with the billing coordinator in O&P.
  • Contacts no-show or cancelled appointments as needed.
  • Performs other duties as assigned by their supervisor.
