About The Position

This position takes a leadership role in the Day-To-Day operations of the parts department. Works to ensure Front Counter, Back Counter and Delivery operations perform at optimum levels throughout the day, addressing gaps or needs as they arise. Fills in at any position needed; so that a high level of service is provided to the customer. Works with all associates to support the sales efforts in the field while ensuring the customer receives a first-class experience while doing business with WE. Trains, coaches and mentors’ employees in both process and how they project themselves as a parts professional. Assists management with input on Employee evaluations as requested.

Requirements

  • Multi Year experience in Parts counter duties (Researching part numbers, invoicing, add-on selling)
  • Functional knowledge of HD truck dealership Parts Operations
  • Ability to work with others in a team environment and fosters healthy working relationships
  • Ability to give and take directions in a fast-paced work environment
  • Stays focused on and completes assigned tasks in a timely manner
  • Consistency in reinforcing defined activities that drive desired results
  • Customer friendly appearance and mannerism, Represent the company in a professional manner

Responsibilities

  • Primary position is working the parts counter
  • Trains, coaches and mentors all operational positions within the dealership parts department
  • Oversees Parts delivery operations and co-ordinates with the OSS to optimize fleet utilization
  • Ensures the back-counter sales person has the needs of the shop filled and that local sourced parts and components are picked up for shop use
  • Attends all Parts sales meetings to assists with and to understand the sales activities; so that operations can support those activities
  • Works with Shipping and Receiving to ensure that all emergency freight is checked in and received into the system as soon as it arrives; allowing arrangements to be made to get those parts to the customer or technician quickly
  • Holds a daily parts huddle with all parts operations to communicate customer needs and daily objectives and ensure both are achieved.
  • Looks Daily at all supplier back orders for customers and facilitates following-up with the supplier; makes sure the customer is contacted and updated throughout the process
  • Manages Open orders for customers and ensures on hand parts are not kept on hold but are invoiced to customers, hold tickets are maintained within company standards or parts are returned to vendors
  • Ensures parts returned by customers are appropriately handled and put into a return status to be returned to the supplier if non-stocking, all MPO returns are immediately placed on an MPO return per the documented process.
  • Reinforces company policy on prepaying for special order parts and ensures the process is followed.
  • Monitors local market activity and communicates changes to the Parts Manager and Salespeople
  • Works with OEM representatives as needed
