Chuck Nash Auto Group is seeking a highly organized and detail-oriented Parts Department Manager Admin to support the daily operations of our Parts Department. This position plays a vital role in keeping the department running efficiently by providing administrative support to the Parts Manager, maintaining accurate records, coordinating processes, and assisting with inventory and vendor communications. Requirements

  • Previous administrative or office experience required.
  • Strong computer skills, including Microsoft Office (Excel, Word, Outlook).
  • Excellent organizational and time management skills.

Nice To Haves

  • Automotive dealership or parts department experience preferred.
  • Experience with dealership management software is a plus.

Responsibilities

  • Provide administrative support to the Parts Manager and Parts Department staff.
  • Maintain and organize department files, reports, and documentation.
  • Assist with processing purchase orders, invoices, credits, and vendor paperwork.
  • Monitor and reconcile parts invoices and assist with accounting-related tasks.
  • Help maintain accurate inventory records and assist with inventory audits.
  • Prepare daily, weekly, and monthly reports.
  • Coordinate warranty and return documentation as needed.
  • Answer department phone calls and direct inquiries appropriately.
  • Communicate with vendors regarding orders, shortages, and returns.
  • Assist with scheduling meetings, training, and department communications.
  • Maintain confidential employee and department information.
  • Perform general office duties including filing, scanning, copying, and data entry.
  • Support special projects and other administrative duties as assigned.
