About The Position

Malin Parts Correspondents fulfill parts requests for material handling equipment, most commonly forklifts. Requests come from Malin Technicians replacing parts while repairing equipment, as well as external customers seeking parts for their equipment. The role uses interpersonal, administrative, and organizational skills to support Malin departments and customers. As a distributor of Raymond lift truck equipment, Malin sources parts for Raymond equipment and other makes and models of lift trucks.

Requirements

• Strong people-support skills, including approachability and a reputation for providing excellent support to other departments and customers.
• Written and verbal communication skills, including the ability to compose detailed, professional correspondence and communicate clearly and helpfully by phone.
• Organization, ownership, and prompt follow-up to provide request status and close out requests in their entirety.
• Problem-solving and research skills, including comfort using online and computer-based information, catalogues, and web resources to find solutions.
• Ability to follow safety protocols and guidelines when handling and storing parts to prevent accidents or damage.
• Intermediate skills in Microsoft Outlook, Excel, Word, and Teams.

Nice To Haves

• At least one year of customer service experience.
• Savvy internet research skills.
• Intermediate Microsoft Outlook experience.

Responsibilities

• Receive parts requests from Malin employees and external customers through Zendesk, Parts Que, phone, and email.
• Review requests for accuracy and completeness, and follow up by phone to obtain needed information about the requested part or equipment.
• Provide pricing and availability information to Malin employees and customers.
• Address damaged or incorrect parts and other discrepancies with employees or customers.
• Source Raymond parts and parts for other equipment makes using online and other parts catalogues.
• Update online work orders and close requests to ensure timely fulfillment.
• Set appropriate work-order statuses and add detailed notes.
• Ensure appropriate packing and shipping methods.
