About The Position

Reporting to the Outpatient Clinical Manager, the Outpatient Summer Student will support the day-to-day functioning of outpatient clinics and programs through inventory and supply coordination, records organization, lunch program support, and quality improvement activities. Working closely with outpatient program assistants, clinical staff, and the Quality Lead, this role offers a hands-on introduction to the healthcare environment, with a focus on client-facing program support, documentation, and infection prevention and control practices. You will help ensure that outpatient teams have the supplies, information, and systems they need to provide high-quality, client-centered care. This is a fully on-site position.

Requirements

  • Currently enrolled in, or a recent graduate of, a degree or diploma program in Nursing, Health Sciences, Community or Public Health, Health Information Management, Data/Informatics, Social Work, or a related field.
  • Knowledge of the healthcare or community health environment and familiarity with medical and/or mental health terminology.
  • Strong organizational, time-management, decision-making and problem-solving skills
  • Able to work independently, prioritize tasks, and meet deadlines in a busy environment.
  • Comfortable with administrative tasks, data entry, and working with both paper and electronic records.
  • Must be able to safely lift up to 20 lbs (e.g., files, supply boxes) as part of inventory and records work.

  • Between 15 and 30 years of age at the beginning of the employment period
  • Be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment
  • Have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations

Nice To Haves

  • Experience in an administrative role, preferably in a healthcare or community services setting, is an asset.
  • Knowledge of the Personal Health Information Protection Act (PHIPA) and other applicable privacy regulations is an asset.

Responsibilities

  • Assist with ordering, managing and organizing outpatient clinic supplies
  • Review and organize outpatient medical records (paper and digital)
  • Assist with data conversion and data migration activities related to outpatient records.
  • Assist with faxing medication orders and ensure accurate documentation of transmissions.
  • Make recommendations for document storage (paper and/or digital).
  • Develop and implement a filing system to support easy and secure retrieval of records.
  • Organize unneeded documents and prepare them for secure destruction.
  • Provide clerical support to outpatient program assistants and clinical staff (e.g., photocopying, filing, basic communications).
  • Support meal distribution during the lunch program as part of a shared responsibility with other team members.
  • Assist with policy review, data entry, and other outpatient clerical tasks.
  • Support other outpatient clinical projects as assigned.
  • Follow procedures and instructions accurately and work collaboratively with outpatient and clinical teams.
  • Complete hand hygiene audits for outpatient clinics and programs, following established tools and processes.
  • Participate in chart audits and other outpatient quality initiatives coordinated by the Quality Lead.
  • Uphold the highest standards of confidentiality when handling personal health information and other sensitive documents.
