About The Position

Part-time Certified Medical Assistant (CMA) or LPN/Office Coordinator Position for our Outpatient Specialty Clinic. This position is scheduled approximately 24-32 hours per week, with additional hours as needed. Shifts typically occur between 7:30 AM and 4:00 PM, Monday through Friday, with days varying based on departmental needs. The role is responsible for coordinating the Outpatient Physician Clinic schedule, including entering complete registration, check-in, and check-out for both HCMH and Traveling Physicians. CMA or LPN responsibilities are required when needed, working under the direction of the healthcare provider and closely with other clinical staff. Clinical functions require knowledge of standards, resources, and data; discretion; good judgment; diplomacy; decision-making; and a customer service attitude. The individual must be able to rotate between registration and rooming duties with minimal supervision.

Requirements

  • Graduate of an accredited program for Medical Assistants OR graduate of an approved LPN program with current license to practice in the State of Iowa.
  • Current certification as a Certified Medical Assistant (CMA) through AAMA or NCCT (if applicable).
  • One year’s experience in a family practice setting, urgent care, or related field preferred.
  • Healthcare experience preferred.
  • Patient Access/Registration experience preferred.
  • Knowledge of Medical Terminology.
  • Knowledge of health system EMR.
  • Exceptional customer service and phone etiquette.
  • Ability to maintain effective and organized systems to ensure timely patient flow.
  • Ability to administer injections.
  • Ability to make sound judgment decisions.
  • Ability to relate to patients, doctors, and other personnel in a courteous, professional manner.
  • Good organizational and communication skills.
  • Ability to be flexible with the changing health care environment and clinic days.
  • Ability to work in a fast-paced, high-volume patient environment at times.
  • Detail-oriented and able to prioritize and multitask.
  • Able to problem-solve and adapt to changing situations.
  • Ability to perform tasks requiring standing, sitting, walking, kneeling, stooping, and light carrying.

Responsibilities

  • Answer phones, send faxes, scan paperwork, and take detailed messages.
  • Register patients and make follow-up appointments.
  • Follow processes and protocols for each clinic, collecting and sending information to appropriate departments/Doctor’s offices (e.g., copies of insurance cards, photo IDs, co-pays, additional paperwork).
  • Maintain appropriate records, including statistics of clinic visits and orders.
  • Compile and provide the OPSC Schedule to all departments in the hospital and UPC.
  • Learn and utilize different EMR systems used by traveling physicians, including attending classes or Net Learnings as required.
  • Prep charts for future clinics, including writing up orders and calling patients to remind them of appointments and testing.
  • Keep OPSC rooms stocked with supplies and linens, maintaining appropriate PAR levels.
  • Room patients by directing them to exam rooms, providing gowns, helping them position for examination/treatment, and arranging instruments, supplies, and equipment.
  • Assist healthcare providers during examinations, prepare laboratory specimens, perform basic laboratory tests, dispose of contaminated supplies, sterilize medical instruments, administer medications, authorize drug refills, telephone prescriptions to pharmacies, prepare patients for x-rays, change dressings, and remove sutures.
  • Record billing information of services rendered, complete insurance forms, and respond to insurance and third-party inquiries.
  • Maintain a safe, secure, and healthy work environment by following and enforcing standards, procedures, and legal regulations.
  • Maintain patient confidence and protect operations by keeping patient care information confidential.
  • Adhere to professional standards, policies, procedures, federal, state, and local requirements, and JCAHO standards.
  • Update job knowledge by participating in educational opportunities, reading professional publications, maintaining personal networks, and participating in professional organizations.
  • Support and contribute to department goals by attending department meetings and participating in performance improvement activities.
  • Perform all other duties as assigned.
