About The Position

We are looking for a full-time Orthodontic Administrative Team Lead to join our team and focus on the orthodontic team! We are a fast-growing practice, looking for a compassionate, detailed oriented and organized candidate to join our team. Our orthodontist, Dr Leah Peres , works clinically 4 days per week between our Canandaigua, Victor Smiles and A Smile to Grow with offices. She specializes in all aspects of orthodontics, focusing on patient care and creating an exceptional experience for our patients. The Orthodontic Administrative Team Lead would maintain a productive and efficient schedule for the entire team. The Orthodontic Administrative Team Lead position is a full-time position - working 4 days per week! Our ideal candidate for this position will have some experience with orthodontic procedures, dental insurance and treatment planning. They will have exceptional customer service & communication skills, be friendly & compassionate and organized & thorough. Our ideal candidate for this position believes in: Giving our patients their highest level of service every day. Standing behind all the services that we offer. Working with everyone on our team for a smooth and productive day. An understanding of how patients feel walking into a dental office and how to make them as comfortable as possible. Responsibilities

  • Serve as the primary point of contact for patient communication, ensuring a high level of service and responsiveness
  • Manage patient follow-up, including answering questions related to treatment, care instructions, and next steps
  • Coordinate scheduling for orthodontic patients, optimizing efficiency while accommodating patient needs
  • Assist patients with travel coordination for appointments, when applicable
  • Oversee and support daily administrative operations within the orthodontic department
  • Act as a liaison between patients and clinical team to ensure clear, consistent communication
  • Monitor patient satisfaction and proactively address concerns to enhance the overall patient experience
  • Support team members as needed to maintain smooth workflow and a positive office environment
  • Help troubleshoot scheduling or patient-related challenges in real time
  • Maintain accurate patient records and ensure all documentation is up to date
  • Collaborate with leadership to improve systems, processes, and patient experience initiatives
