About The Position

The Order Management Specialist will perform troubleshooting on all insurance claims and other order types and assist to identify and execute various enhancements to all order management processes. The Specialist will ensure compliance with all company and business policies to ensure appropriate order flow. This is a highly technical job, where understanding of order flow, process flow, and above-average knowledge of the Operating system is crucial for successful performance. The role involves managing all communication with Materials, Operations, and Fulfillment centers to satisfy and process all insurance orders and ensure timely shipment of devices within SLA. The Specialist will use the current warehouse management system (Oracle) to modify, migrate, and push orders using technical knowledge to facilitate order flow until shipment. They will verify all order lines, prepare daily reports, manage all shipments, respond to all inquiries regarding order status, and resolve all order issues. The role also includes monitoring and evaluating order issues and resolving them using available tools. The Specialist will work in tandem with the Purchasing department to resolve escalations for claims that cannot be satisfied based on current stock availability. Using available tools, this position is responsible for generating multiple reports to communicate priority and urgency to other departments, such as priorities needed to satisfy backorders and Kitting Priorities. Technical research for current claims needing migration of existing models and executing those migrations to satisfy claims within SLA is also a key responsibility. The Specialist will communicate with the Planning Department on devices that need to be prioritized from Production lines for all programs and ensure FIFO (First-In, First-Out) is followed to satisfy older claims. Depending on the program and customer, additional research may be needed to move orders from Entered status to Booked status, allowing orders to cascade within the system. The role involves creating different feedback reports to monitor overall SLA attainment on a daily/monthly basis and publishing this data to stakeholders. Additionally, the Specialist will create reports on status, pending shipment, and overall status of claims at a model level for all programs, along with the action items needed to fulfill and troubleshoot orders.

Requirements

  • High School Diploma or equivalent.
  • Minimum of 2 years of distribution experience.
  • Logistics background.
  • MS Excel proficiency in order to manage large amounts of data.
  • MS Word proficiency in order to create basic documents and reports.
  • Good communication skills in order to interact and influence others.
  • Understanding of order flow.
  • Understanding of process flow.
  • Above average knowledge of the Operating system.

Nice To Haves

  • BS/BA on a technical field preferred.
  • Experience in inventory control, material management/movement of more than 2 years desired.
  • Oracle experience is a plus.
