About The Position

The Florida Department of Health in Seminole County is seeking a self-motivated and hardworking individual for a Human Services Program Specialist position in Sanford, FL. This is a full-time, in-office position. The role involves providing a variety of health services and client coordination duties within the Clinic/Laboratory/Community area. The incumbent will assist clinical positions and programs, research and gather data, prepare reports, and may initiate special projects. This position requires effective communication skills, a positive demeanor, and a commitment to championing the mission, vision, and goals of the Florida Department of Health in Seminole County. The role also involves ordering and maintaining medications and supplies, managing department purchasing, generating reports, and acting as a liaison between staff and outside agencies. Scheduling tasks, calendar management, and preparing correspondence are also key responsibilities. The position ensures adherence to State procedures and HIPAA guidelines to protect client confidentiality and agency integrity. Additionally, the role may involve assisting with client appointments, specimen collection, conducting in-house and mobile/outreach testing, logging results, and following up with billing. Cashiering duties may also be required.

Requirements

  • 2 years of experience registering and scheduling client appointments in a medical office management or health care setting
  • 2 years of clerical/administrative work experience to include data entry, excel spreadsheet, PowerPoint presentations, and creating reports
  • Experience with ordering supplies and inventory control
  • Knowledge of computers and programs to include Microsoft, Outlook, Office, PowerPoint, and Excel.
  • Knowledge of how to operate office equipment to include computers, copier, scanner, etc.
  • Knowledge of general office procedures, practices, and organization skills; cultural sensitivity; medical technology practices and procedures; the types of laboratory tests; laboratory equipment and testing procedures; chemicals and reagents; the significance of laboratory tests.
  • Skill in operating laboratory and scientific equipment for conducting tests; providing professional customer service; taking vital signs.
  • Ability to communicate effectively; establish and maintain effective working relationships with others; use online computer system and word processing; do basic math calculations and good language skills; organize and maintain files and records efficiently; follow instructions and review data for accuracy and completeness; function in a busy environment; perform multiple tasks while maintaining organization of area.
  • Learn and communicate effectively, orally and in writing, in English.

Responsibilities

  • Provide a variety of health services and client coordination duties and responsibilities within the Clinic/Laboratory/Community area.
  • Assist a variety of clinical positions and programs within the Clinical Department.
  • Research, gather data, and prepare reports.
  • Independently initiate special projects with supervisor approval.
  • Provide support and assistance to further the achievement of the goals of the work unit.
  • Provide assistance and guidance to internal and external customers.

  • Order and maintain medications/supplies for the clinic, mobile clinic, and immunizations.
  • Maintain medications in emergency medication kits throughout the agency and carts for emergency preparedness response.
  • Maintain department purchasing and reconcile reports with department records.
  • Generate reports, memos, presentation materials, spreadsheets and graphics using various computer programs.
  • Order supplies for emergency shelter carts.
  • Act as liaison between staff and outside agencies and organizations as instructed.
  • Perform and coordinate scheduling tasks and support services associated with preparing and planning for meetings/trainings.
  • Manage calendar and coordinate meeting agendas and correspondence for Executive Community Health Nursing Director and Senior Community Health RN Supervisory and other Leadership roles as instructed.
  • Prepare letters and correspondence to be sent out to clients, physicians, staff or the public.
  • Assist the RN Supervisor with general administrative duties as needed.
  • Greet customers and meet the needs of staff in a timely manner as instructed.
  • Check mail for the department daily.
  • Serve as contact person for issues related to copiers in Clinic Team Room and immunizations’ (supplies/service).
  • Maintain schedule of maintenance services for equipment within the clinic.
  • Assist with preparing Nexplanon removal and insertion kits and stocking clinic rooms.
  • Ensure adherence to State procedures & HIPPA guidelines, to protect the rights and confidentiality of clients and maintain the integrity of the agency and the client.
  • Assist with making appointments for clients as needed for clients within clinical services.
  • Provide a variety of health services and client coordination duties and responsibilities within the Clinic/Laboratory to include specimen collection of blood, urine and other bodily fluids ordered by clinical representative as required for analysis.
  • Help maintain responsibility in the conduction of in-house and mobile/outreach testing, to include pregnancy tests, clean catches, urine collection, collection of blood, specimens for cultures/smears, and finger sticks.
  • Maintain responsibility for initiating, analyzing, completing, and logging results within the tracking mechanisms implemented.
  • Provide results to clinical representatives in a timely fashion and copies filed.
  • Follow up with billing lab invoices and provide billing information to our Billing Dept.
  • Assist with cashiering as needed for clinic/immunizations, assuring that payments are collected from patients.
  • Required to work beyond normal work hours in response to disasters and Public Health Emergencies including being assigned to Special Needs Shelters.
