About The Position

The Operations Support Specialist plays a vital role in ensuring that the day-to-day operations, staff environment, and event logistics of our district run smoothly, efficiently, and welcomingly. Working closely under the direction of the Executive Assistant, who oversees high-level planning and delegates operational tasks, this role executes hands-on office logistics, staff environment management, internal event coordination, and targeted administrative support for district leadership and Human Resources. While primary duties focus on event logistics, lounge stocking, and inventory, this position also provides as-needed front desk coverage. The ideal candidate is a proactive organizer, a natural problem-solver, flexible, and a clear communicator who thrives in a collaborative, fast-paced educational setting.

Requirements

  • A GED or HS Diploma
  • Active participation in a Christian church.
  • Effective oral and written communication skills
  • 1-3 years of prior administrative, office operations, or logistics support experience (experience in a school district or educational environment is a plus).
  • Proficiency in Google Workspace (Docs, Sheets, Slides, Drive, Calendar, Gmail).
  • Minimum typing speed of 50 WPM.
  • Demonstrated ability to quickly learn new software platforms and district systems.
  • Ability to regularly lift, carry, and maneuver supplies and event equipment up to 25-30 lbs (e.g., cases of coffee/paper, tables, and event items) and stay active during event setup days.
  • Strong organizational skills, attention to detail, and excellent time management.
  • Ability to execute delegated tasks independently and efficiently.
  • High level of discretion and confidentiality when handling HR-adjacent information.

Responsibilities

  • Facilitate and execute internal district events, staff appreciation functions, and internal gatherings (handling physical setups/breakdowns, table/chair arrangements, and trash oversight).
  • Receive incoming catering deliveries, escort vendors, assist with setup/cleanup, hand out name tags, and guide attendees.
  • Lead repetitive, structured event tasks during dedicated event days (e.g., guiding staff/students through photo-day lines, handing out forms, and keeping schedules on track).
  • Assist with logistics and scheduling support for district-wide staff events, operations team meetings, and training schedules.
  • Maintain, stock, and organize all staff lounge spaces and kitchenettes across the administration facilities (coffee, snacks, paper products, cutlery, etc.).
  • Coordinate with central facilities teams to monitor and maintain essential staff supplies in designated non-student areas.
  • Track supply inventories, submit purchase receipts, and utilize a district-provided credit card for operational purchases in full compliance with district finance policies.
  • Provide targeted administrative support to the Chief People Officer and HR team on an assignment basis.
  • Lead operational pre-boarding logistics for incoming staff during peak hiring cycles (e.g., preparing welcome materials, desk setups, and physical logistics prior to the start of the new school year).
  • Assist with routine data entry, document formatting, and administrative projects as assigned.
  • Provide scheduled or ad-hoc front desk coverage during receptionist absences or peak operational hours.
  • Warmly greet district guests, partners, and visitors upon arrival with a professional and welcoming demeanor.
  • Answer the main phone line, manage visitor check-ins, and handle incoming/outgoing mail and parcel distribution while covering the front desk.
  • Communicate proactively and consistently with students, families, and colleagues, providing frequent updates on student progress, classroom activities, and school initiatives.
  • Work collaboratively and supportively with colleagues, supervisors, students, parents/guardians, and community members, maintaining positive, solution-oriented relationships that foster a strong, inclusive environment for optimal learning.
  • Continuously seek professional growth through building and department meetings/professional development, formal coursework, workshops, and seminars/in-services.
