About The Position

This highly responsible and advanced level administrative/secretarial position is responsible for providing administrative and secretarial support to Associate Director and staff of the Office of Highway Maintenance (OHM). Duties encompass prioritizing work assignments in support of the Special Services Division and Rehab and operations Division. Specific duties include validation of all county claims correspondence, 311 service requests and escalations, snow and ice control planning and coordination, file management, administrative and program support as needed. Work is performed under the general supervision of Administrative Aide IV /Office Manager.

Requirements

  • Successful completion of probationary period of nine (9) months at the Administrative Aide II level.
  • One (1) year of advanced diverse and/or technical clerical experience which involved working with the public, office management and operational details.
  • Associate's Degree from an accredited college or university in Business Administration or Secretarial Science.
  • Possess a valid driver's license.
  • An equivalent combination of education, experience and training which provides the required knowledge, skills and abilities may be considered.

Responsibilities

  • Provides administrative and secretarial support to the office and division staff.
  • Manages the distribution of incoming and outgoing mail and maintains mail and work-tracking logs.
  • Assists with the sale of contract documents, project plans, and specifications, and processes payments in accordance with established policies and procedures.
  • Purchases and maintains office supplies and equipment inventories.
  • Reconciles monthly credit card transactions and maintains related financial records.
  • Prepares correspondence, memoranda, contract documents, task orders, work orders, change orders, easements, and other administrative documents.
  • Records and distributes meeting minutes.
  • Processes payment requests, invoices, and purchasing documentation.
  • Maintains, organizes, and updates division files and records.
  • Assists with recruitment, onboarding, and training activities as needed.
  • Greets visitors, responds to telephone inquiries, and directs calls to appropriate personnel.
  • Coordinates and schedules meetings, appointments, and calendars for division leadership and staff.
