This role is primarily remote but requires occasional in-person attendance for internal meetings at the Portland office. We are looking for a talented individual to join our team as an Operations Specialist! In this role, you will support the delivery and ongoing operations of HVAC and Heat Pump Water Heater (HWH) programs. You will serve as a key internal coordinator and liaison between distributors, account managers, and internal teams, ensuring program operations run smoothly. This role is ideal for someone who thrives in a collaborative environment, enjoys working with systems and data, and is passionate about supporting trade ally partnerships and operational excellence.

Requirements

  • Experience in operations, program coordination, or energy efficiency programs, preferably supporting HVAC or trade ally networks
  • Strong collaboration skills with the ability to work across multiple internal and external stakeholders
  • Experience working with data systems, reporting tools, or program tracking platforms
  • Excellent communication and problem-solving skills, with a focus on customer service and responsiveness
  • High attention to detail and strong organizational skills
  • Ability to manage multiple priorities in a fast-paced, team-oriented environment

Responsibilities

  • Serve as the operational point of contact between distributors, account managers, and internal teams to support HVAC and HWH program execution
  • Collaborate daily with HVAC distributors and trade allies, addressing payment inquiries, submission issues, and program-related questions
  • Support tool rollouts and system enhancements, including participating in UAT testing and helping prepare solutions for release
  • Deliver and support training for distributors, trade allies, and account managers on new systems, tools, and validation processes
  • Utilize systems of record to pull reports, track program activity, and contribute to quarterly client reporting
  • Coordinate closely with incentives processing, data teams, and account management to ensure accurate processing and program performance
  • Maintain project trackers and databases, ensuring data accuracy, visibility, and smooth operational workflows
