This role is for a detail-oriented and driven HR & PRO Specialist who will execute HR, PRO, and GRO services with precision, speed, and compliance. It is a non-client-facing position, focusing on ensuring clients’ businesses operate seamlessly by managing government platforms, processing essential documentation, and maintaining accuracy across various systems. The specialist is expected to be meticulous, proactive, and committed to operational excellence, ensuring every task, update, and process contributes to AstroLabs’ promise of quality delivery and reliability. The ideal candidate is passionate about perfecting execution, mastering systems, and delivering services with excellence and consistency.

Requirements

  • Strong understanding of HR, PRO, and GRO processes in Saudi Arabia.
  • Skilled in using government portals such as QIWA, GOSI, Mudad, Muqeem, and similar systems.
  • Excellent attention to detail, organization, and time management.
  • Proficiency in Microsoft Office (especially Excel) and CRM tools.
  • Strong written and verbal communication skills in Arabic and English.
  • Experience in HR, PRO, and GRO processes, preferable for KSA.
  • Proven ability to manage multiple requests while maintaining quality and compliance.
  • A proactive learner who thrives in a fast-paced environment and adapts to new systems or regulations quickly.
  • Integrity, ownership, and reliability, you take pride in doing things right and on time.

Nice To Haves

  • Knowledge in using government portals such as QIWA, GOSI, Mudad, Muqeem, and similar systems is a plus.

Responsibilities

  • Execute HR, PRO, and GRO services for clients such as visa processing, employee registration, insurance issuance, certificate renewals, and residency management.
  • Maintain exceptional accuracy and timeliness in all assigned tasks and services.
  • Keep all systems and trackers (ClickUp, internal CRMs, Excel sheets, etc.) updated with at least 95% accuracy.
  • Execute services through government platforms such as QIWA, GOSI, Muqeem, and Mudad, ensuring compliance and operational efficiency.
  • Liaise with government entities (MISA, MC, MOFA, Chamber of Commerce, etc.) online and in person when required.
  • Maintain and enhance documentation, SOPs, and process checklists to ensure consistency, efficiency, and scalability.
  • Log working hours in relevant tracking systems and maintain an optimal utilization rate.
  • Ensure all deliverables and updates are recorded systematically for reporting and compliance purposes.
  • Troubleshoot operational bottlenecks or delays and coordinate solutions within your scope of work.
  • Stay updated on evolving regulations and adapt workflows accordingly.
  • Approach challenges with curiosity, accountability, and a solutions-oriented mindset.
  • Share learnings and updates with peers to foster a culture of continuous improvement.
  • Participate in internal trainings to strengthen technical knowledge and professional maturity.
  • Uphold AstroLabs’ standards of integrity and professionalism in all interactions with internal teams and external partners.
